Role Overview
We are seeking a Marine Assistant to provide administrative and operational support to the Marine Manager and Marine Superintendents in the day-to-day management of vessels.
The successful candidate will assist with vessel reporting, performance monitoring, documentation and the completion of vessel questionnaires. This role is suitable for an organised and detail-oriented individual looking to develop a career in ship management and marine operations.
Key Responsibilities
- Provide daily administrative and operational support to the Marine Manager and Marine Superintendents.
- Assist with monitoring vessel operations and follow up on outstanding matters with vessels.
- Compile month-end vessel operational and performance reports.
- Collect, review and consolidate vessel KPI data for management reporting.
- Maintain records relating to vessel performance, incidents, inspections and operational matters.
- Complete and update vessel questionnaires, including Q88 and other customer or charterer documentation.
- Coordinate with vessel personnel to obtain accurate and timely operational information.
- Assist with preparing reports, presentations, correspondence and meeting materials.
- Maintain vessel certificates, records and marine documentation in the relevant systems.
- Track the status of inspections, audits, observations and corrective actions.
- Support preparations for internal audits, external inspections and vessel visits.
- Assist with updating operational procedures, forms and document-control records.
- Liaise with Technical, HSEQ, Crewing and Operations teams on vessel-related requirements.
- Maintain departmental databases, filing systems and document registers.
- Perform other marine operations and administrative duties assigned by management.
Requirements
- Diploma or degree in Maritime Studies, Nautical Studies, Shipping, Business Administration or a related discipline.
- 1–3 years of experience in ship management, vessel operations or maritime administration would be advantageous.
- Fresh graduates with relevant maritime qualifications may also be considered.
- Familiarity with vessel questionnaires, Q88, KPI reporting or ship-management documentation would be beneficial.
- Good understanding of basic vessel operations and maritime terminology.
- Strong numerical, analytical and report-compilation skills.
- Organised, detail-oriented and able to manage multiple deadlines.
- Proficient in Microsoft Office, particularly Excel, Word and PowerPoint.
- Able to communicate effectively with shore-based teams and vessel personnel.
- Able to work independently while supporting a wider marine team.
