Operations Executive (Air Conditioning & Automotive)

Job Description

We are looking for a responsible, organised, and proactive Operations Executive to assist in managing the daily operations of our air conditioning and automotive workshop businesses.

The successful candidate will work closely with management to ensure smooth daily operations, coordinate manpower and job schedules, communicate with customers, and handle general administrative and operational matters.

This is a hands-on role suitable for someone who enjoys problem-solving, coordinating people, and working in a dynamic environment.

Key Responsibilities

1. Daily Operations & Scheduling

  • Assist in overseeing the daily operations of both the air conditioning company and automotive workshop.
  • Coordinate technicians' daily work schedules, job assignments, and manpower deployment.
  • Monitor job progress and ensure work is completed within the scheduled timeframe.
  • Liaise with technicians, suppliers, subcontractors, and customers on operational matters.
  • Assist in resolving day-to-day operational issues and escalate important matters to management.

2. Customer Service & Coordination

  • Handle customer enquiries through phone calls, WhatsApp, and email.
  • Coordinate customer appointments, service bookings, and follow-ups.
  • Prepare and follow up on quotations, job orders, and invoices.
  • Attend to customer feedback and assist in resolving service-related issues.
  • Maintain good customer relationships and ensure service standards are met.

3. Administrative & Operational Support

  • Maintain accurate records of job schedules, service reports, and operational documents.
  • Coordinate purchasing, material orders, and deliveries with suppliers.
  • Monitor outstanding jobs, customer payments, and administrative follow-ups.
  • Assist with staff attendance, leave coordination, and general administrative duties.
  • Support management in improving operational processes and efficiency.

4. Logistics & On-Site Support

  • Travel between company premises, suppliers, and customer locations when required.
  • Assist with collection and delivery of documents, materials, and vehicles when necessary.
  • Conduct occasional site visits to check job progress and coordinate operational requirements.
  • Provide hands-on operational support where necessary.

Job Requirements

  • Valid Singapore Class 3 Driving Licence (compulsory).
  • Able to communicate effectively in English, both spoken and written.
  • Good organisational, communication, and multitasking skills.
  • Comfortable using computers, Microsoft Office, WhatsApp, and basic administrative software.
  • Responsible, reliable, and able to work independently.
  • Willing to take initiative and solve problems.
  • Comfortable working in both office and operational environments.
  • Able to coordinate multiple tasks and communicate with different teams.

Preferred but Not Compulsory

  • Previous experience in operations coordination, service scheduling, logistics, facilities management, or related industries.
  • Experience in the air conditioning, automotive, construction, or maintenance industry.
  • Basic technical knowledge of air conditioning systems or automotive servicing.

Training will be provided. Candidates without direct industry experience are welcome to apply.
