Personal Assistant to the Pastor-in-Charge (PIC)
Join us in supporting the mission and ministry of CCMC. As Personal Assistant to the Pastor-in-Charge, you will provide executive and administrative support across ministry coordination, membership administration, worship planning, governance matters and member care, helping our church serve the congregation effectively and faithfully. This role is ideal for a highly organised, proactive and service-oriented individual who enjoys contributing to church life and ministry.
Key Responsibilities
1. Support to the Pastor-in-Charge's Office
Provide comprehensive administrative and executive support to the Pastor-in-Charge, including calendar management, correspondence, meeting coordination, document preparation, minute-taking, and handling confidential matters.
2. Baptism & Membership Administration
Maintain baptism and membership records and relevant databases, and coordinate baptism, membership, confirmation and transfer processes, including registrations, documentation, service logistics and participant follow-up.
3. Member Care and Pastoral Support
Provide administrative support for pastoral care ministries, including member care initiatives, pastoral visits, weddings, bereavement matters and other congregational support activities.
4. Local Conference and Governance Administration
Support Local Conference and governance-related administration, including reports, submissions, record management and liaison with church leaders and the District Superintendent.
5. Church Calendar and Worship Coordination
Assist in maintaining the church and pulpit calendars, coordinating worship-related schedules, guest speaker arrangements and service planning logistics.
6. Ministry and Church-Wide Administrative Support
Provide administrative and coordination support for church-wide programmes and ministries, and undertake other duties assigned by the Pastor-in-Charge.
Requirements
- Diploma or degree qualification, with relevant administrative, executive assistant or ministry support experience preferred.
- Team player with strong organisational, coordination and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office applications and digital administrative systems. Artificial Intelligence (AI) familiarity is an added advantage.
- Ability to handle confidential information with discretion and maturity.
- Strong attention to detail and follow-through.
- Demonstrated ability to work collaboratively with pastors, staff, church leaders, volunteers and members.
- A heart for ministry and service within a church environment.
- Willingness to work occasional evenings, weekends, and church events as required.
