We are a dynamic single-family office with a presence across four locations in Asia and North America. Our Singapore office, Kyard SG Pte Ltd is looking for a Personal Assistant to provide dedicated, high-trust support to the Chairman and his family.
This role exists solely to support the Chairman both as a Corporate PA within his office and a Family PA to his family. The successful candidate will function primarily as Family PA to start while remaining ready to step into the Chairman’s office to support his broader administrative and business needs as required. This role sits at the intersection of executive support, household/lifestyle management and light-touch coordination of the Chairman in his multiple leadership roles. The successful candidate will have the judgment of an experienced corporate PA together with the discretion expected in a private family office setting.
Personal Assistant
Role positioning & objectives:
Success in this position will require the ideal candidate to:
1.Go above and beyond a narrowly defined job description and function as an all-around problem identifier and problem solver to support the Chairman for both his family & business activities.
2. Function primarily as Family PA to the Chairman’s family to start. Shift to support the broader administrative functions related to the Chairman’s office as and when required.
3. Approach the work with good humor, flexibility and a personal touch while displaying confidence, independence and resourcefulness.
4. Champion the values of the family office and work to further the mission of the office to provide exceptional, devoted service to the family and its various activities around the world.
Job duties include, but are not limited to:
1. Provide full spectrum of high-quality personal assistant support to the family.
2. Provide light touch calendar management support working directly with the Chairman on his schedule and coordination of meetings. Exercise absolute discretion and provide sound judgment with sensitive information.
3. Coordinate global and international travel arrangements for the Chairman and family including flights, visas, accommodation and ground transport. Anticipate and resolve travel disruptions in real time, including outside working hours.
4. Support building facilities and management matters across the family’s properties including those outside of Singapore, liaising with location property managers and contractors as needed.
5. Maintain comprehensive and accurate vendor schedules, household service contracts and facility inspection records. Ensure timely payment of all essential contracts and resolution of household needs. Source and liaise with external vendors for household maintenance/repair work and procurement.
6. Assist on matters with household staff and any related employment administration.
7. Manage select family activities and fulfil a variety of logistical requests and private event management.
8. Serve as a trusted point of contact between the family and external service providers, staff and advisors. Liaise with private bankers and legal counsel on routine administrative matters (under guidance, not providing tax or legal advice).
9. Work closely with and provide frequent updates to Office Manager and the Chairman.
Requirement & Qualifications:
1. Minimum 10 years of experience as a Personal Assistant, Family PA or Executive Assistant to C-Suite, including prior exposure to MNC /similar family office set-up.
2. Bachelor’s Degree in any discipline.
3. Highly organized with a keen eye for detail and follow-through; efficient, takes ownership and a self-starter who anticipates the needs of the Chairman and his family without the need to be asked.
4. Knowledgeable and resourceful on a wide range of areas related to living and working in Singapore, deploying this knowledge to solve challenges and create efficiencies for the Chairman.
5. Good interpersonal skills, discipline with strong work ethic.
6. Highly perceptive with exceptional emotional intelligence. Skilled at anticipating needs, and capable of weighing options and presenting reasonable, fact-based solutions.
7. Proficient in M/S Office Suites and knowledge of Apple products a must.
8. Demonstrated experience arranging complex, multi-destination global travel.
9. Enjoys variety in day-to-day tasks and consistently willing to go above and beyond to serve the family and the Chairman.
10. Working exposure to building and facilities management. Experience handling cross-border building/facilities management, particularly private estates across multiple jurisdictions.
11. Basic understanding of personal tax treatment obligations in Singapore and general awareness of cross-border tax considerations an added advantage
12. Cultural sensitivity and comfort working with an expatriate, multi-jurisdictional family. Work experience outside of Singapore a plus.
