Key Responsibilities & Accountabilities
Fund Operations & Administration
- Act as the primary liaison between the firm and external fund administrators.
- Oversee fund accounting, NAV reporting, investor servicing and operational deliverables provided by third-party service providers.
- Review administrator outputs for accuracy, completeness and timeliness.
- Coordinate fund cash management, banking activities and operational workflows.
- Maintain operational procedures, controls and service provider oversight frameworks.
Capital Calls & Distributions
- Manage end-to-end capital call and distribution processes.
- Review investor allocations, capital account movements and supporting calculations.
- Coordinate issuance of capital call and distribution notices with fund administrators.
- Monitor investor funding status and cash receipts.
- Support reconciliation and reporting of capital activity across investors and underlying funds.
Fund Launches & Strategic Projects
- Support the launch of new private equity funds, investment platforms and fund structures.
- Coordinate across legal counsel, tax advisers, auditors, custodians and administrators during fund setup.
- Assist in drafting and reviewing operational manuals, fund procedures and governance frameworks.
- Drive operational readiness initiatives and business process improvements
Operational Risk, Controls &Governance
- Act as Departmental Compliance Operational Risk Officer (DCORO).
- Coordinate Compliance Risk & Control Self-Assessments (RCSA), Compliance Effectiveness Testing (CET), and Key Risk Indicator (KRI) monitoring.
- Maintain audit-ready evidence and supporting documentation for all control testing activities.
- Oversee: User access and shared drive reviews, Business Continuity Planning (BCP) and testing.
Business Management & Strategic Initiatives
- Support the development and execution of the Private Equity Department's strategic objectives and growth initiatives.
- Coordinate annual budgeting, expense planning, headcount planning and financial tracking for the Private Equity business.
- Prepare management reports, business reviews, board materials and senior management presentations.
- Coordinate vendor selection, service provider governance and operating budget oversight.
Job Requirements
- Minimum 5–8years of relevant experience in private equity fund operations, fund administration, asset management operations or business management.
- At least2–3 years of direct experience in private markets.
- Prior experience at a fund administrator, audit firm or asset manager is an advantage.
- Solid understanding of private equity fund structures and lifecycle, including capital calls, distributions, NAV and investor capital accounts.
- Experience overseeing third-party service providers (fund administrators, auditors, custodians, legal and tax advisers).
- Working knowledge of operational risk, compliance and control frameworks in a regulated financial institution.
- Advanced Excel and strong analytical and reconciliation skills.
- Strong written communication skills for management reporting and senior stakeholder presentations.
Good to have
- Experience in fund launches or cross-border fund structuring (e.g. Singapore VCC, limited partnership structures).
- Exposure to budgeting, expense planning and business management.
- Familiarity with workflow automation tools (e.g. Power Automate).
- Knowledge of MAS regulatory requirements applicable to fund management.
