The posting

The Programme Support & Job Redesign Coordinator supports SMEs participating in government workforce development programmes and business support schemes.

The role is responsible for preparing programme documentation, coordinating with programme providers and SME clients, supporting job redesign activities, preparing on-the-job training plans, monitoring programme progress, and assisting clients with the preparation of supporting documents for claim submission.

This position will work closely with consultants, programme providers, employers, and employees to ensure that programme requirements, documentation, and timelines are properly coordinated.

KeyResponsibilities

  • Support the preparation and submission of documentation for workforce development programmes and SME support schemes.
  • Coordinate with SMEs, programme providers, consultants, and internal project teams on application requirements, documentation, training arrangements, and programme timelines.
  • Assist consultants in reviewing existing employee job scopes and preparing revised Job Descriptions as part of job redesign projects.
  • Compare current and redesigned job roles and document changes in responsibilities, skills, technology adoption, productivity, and work processes.
  • Prepare and maintain On-the-Job Training (OJT) plans, training schedules, learning objectives, competency requirements, and employee development activities.
  • Work with clients and consultants to revise OJT plans where job roles, responsibilities, or training requirements change during the programme.
  • Track employee training progress, attendance, milestones, and supporting evidence required for programme completion.
  • Guide SME clients on the administrative documents and supporting evidence required for programme claims.
  • Review claim documentation for completeness before submission, including relevant payroll records, training records, employee documents, programme reports, and other required supporting evidence.
  • Coordinate with programme providers to clarify application, training, documentation, and claim requirements.
  • Follow up with SME clients on outstanding documents, signatures, supporting evidence, and programme milestones.
  • Prepare progress reports, programme trackers, document checklists, and client status updates.
  • Maintain proper electronic filing and documentation for each participating SME and employee.
  • Support the consulting team in responding to programme-provider queries and requests for additional information.
  • Ensure information provided by clients is properly documented and escalated to the consultant where clarification is required.

Job Redesign Support

The successful candidate will assist the consulting team in documenting job redesign activities, including:

  • Current Job Description / Existing Job Scope
  • Redesigned Job Description
  • Changes in work processes and responsibilities
  • Tasks that are automated, simplified, or reassigned
  • New skills and competencies required
  • Technology or digital tools introduced into the role
  • Changes in employee productivity or work outcomes
  • Training required for the redesigned role
  • OJT activities to support employees in transitioning into the redesigned role

The candidate is not expected to independently determine the job redesign strategy but should be able to document, structure, and refine the information provided by consultants and SME clients.

Programme & Claim Support

The role will also support SMEs throughout the programme lifecycle, including:

Application Stage Collect company and employee information, prepare supporting documents, organise Job Descriptions, training plans, and required programme paperwork.

Implementation Stage Coordinate OJT activities, monitor progress, update training records, follow up with clients and programme providers, and maintain programme documentation.

Completion & Claim Stage Prepare claim checklists, organise supporting evidence, review documents for completeness, and help SME clients prepare their submissions according to the programme provider's requirements.

Requirements

  • Diploma or Degree in Business Administration, Human Resources, Management, Finance, Accounting, or a related discipline.
  • Strong written English and ability to prepare structured business documents.
  • Good Microsoft Word, Excel, PowerPoint, and Google Workspace skills.
  • Strong attention to detail and document-management skills.
  • Comfortable following up with clients and external programme providers.
  • Able to manage multiple SME projects and deadlines simultaneously.
  • Able to understand business processes and translate discussions into clear written documentation.
  • Experience in HR administration, training administration, government programme administration, grant/project administration, consulting support, or claims documentation would be an advantage.
  • Experience preparing Job Descriptions, training plans, HR documents, or project reports would be advantageous.

  • Responsiveness to programme-provider queries
  • Reduction in document errors, missing information, and resubmissions
  • Ability to manage multiple SME cases concurrently
