Working Hours: Monday to Friday, 9:00am – 6:00pm
Our client is a leading international hospitality company. They are looking for a Purchasing Executive who will play a key role in supporting the hotel's daily procurement operations. You will be responsible for coordinating purchases, sourcing competitive quotations, managing supplier relationships and maintaining accurate purchasing records to ensure the timely availability of goods and services across hotel departments.
Working closely with the Purchasing Manager and internal teams, you will help maintain product quality, control purchasing costs and ensure all procurement activities comply with company policies and procedures.
Key Responsibilities
- Process purchase requisitions and prepare purchase orders in accordance with established procedures.
- Obtain and compare supplier quotations to secure competitive pricing while maintaining quality standards.
- Monitor outstanding orders and follow up with suppliers to ensure timely deliveries.
- Coordinate with hotel departments to fulfil purchasing requirements efficiently.
- Maintain supplier records, quotations, contracts and pricing information.
- Monitor supplier performance and assist with supplier evaluations and market surveys.
- Support inventory monitoring, stock takes and cost-saving initiatives.
- Maintain accurate purchasing documentation and prepare reports on procurement activities.
- Submit purchase orders, delivery notes and invoices to Accounts Payable for processing.
- Work closely with Finance, Culinary, Housekeeping, Engineering and F&B teams to support daily operations.
- Ensure compliance with procurement policies, approval procedures, internal controls and audit requirements.
Requirements
- Diploma or Degree in Supply Chain Management, Procurement, Business Administration, Hospitality Management or a related field preferred.
- 1–3 years of experience in purchasing, procurement or supply chain operations, preferably in hospitality.
- Good understanding of purchasing procedures, inventory management and supplier coordination.
- Proficient in Microsoft Office, particularly Excel.
- Familiarity with purchasing, inventory or ERP systems is an advantage.
- Strong organisational, administrative and analytical skills.
- Good communication and interpersonal skills.
- Detail-oriented, proactive and able to manage multiple priorities in a fast-paced environment.
- Experience in a luxury hotel or pre-opening environment will be an advantage.
