Key Responsibilities
Front Desk & Visitor Management
- Serve as the first point of contact for the church, welcoming members, visitors and guests in a warm, professional manner.
- Manage the front desk during morning hours on weekdays and Saturdays, ensuring the reception area is tidy, presentable and properly staffed.
- Direct visitors, contractors and delivery personnel to the appropriate staff or venue.
- Maintain a visitor log and follow safety/security procedures for building access.
Phone, Email, Correspondence, Room & Zoom Bookings
- Answer, screen and route incoming calls promptly and courteously; take and relay accurate messages.
- Forward ICE calls to the Pastoral Team Member according to the duty roster.
- Monitor the general church email inbox and respond to or redirect enquiries in a timely manner.
- Receive, sort and distribute incoming mail, parcels and deliveries; prepare outgoing mail and courier requests.
- Mail and record outgoing documents, and maintain a monthly record of postage used.
- Assist with drafting routine correspondence, notices and acknowledgement letters as needed.
- Manage room booking requests from staff, members, Preschool and FaithActs, as well as the Zoom booking calendar, avoiding scheduling conflicts.
Member Care & Communications
- Prepare and mail birthday cards, or send email birthday greetings, to members.
- Send SMS reminders to Holy Communion stewards.
Administrative Support
- Coordinate and order monthly groceries for the office, Mandarin Service and Hospitality (ACJC).
- Issue car decals to members/worshippers upon request and update car decal records.
Baptism & Membership Classes Support
- Assist the Pastoral Team Member with Baptism & Membership classes and services, including registration, printing notes, taking attendance, printing certificates, and updating the membership database after the service.
This is a part-time position, working hours from Mondays to Saturdays, mornings only
Requirements
- GCE 'O' / 'A' Level, Diploma or equivalent; relevant experience in a receptionist, front-desk or administrative role preferred.
- Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable learning new administrative systems.
- Warm, friendly and professional disposition with strong interpersonal and communication skills.
- Well-organised, detail-oriented and able to multi-task in a busy front-desk environment.
- High level of integrity, discretion and confidentiality when handling personal and church information.
- Able to work on weekday mornings and Saturday mornings, on a part time basis.
