Job Description
- You will be the link between our customers and our production team. When an enquiry comes in, you will prepare the quotation. Once the customer confirms with a purchase order, you will coordinate with production and make sure the job is completed, delivered and invoiced correctly and on time. This role suits someone who is organised, pays attention to detail and likes to keep things moving.
- Quotations, orders, invoices, customer records and job tracking are all managed through our systems. You do not need to know how to use our software beforehand. We will provide training, but you should be comfortable using computers and willing to learn new software. You will also learn about our products, production processes and customers as you gain experience, and you will report to our Sales Manager.
Responsibilities
- Respond promptly to customer enquiries by phone and email with clear information
- Prepare and send quotations and invoices, and process customer purchase orders
- Confirm job details, specifications and delivery dates with customers, and coordinate with production to monitor job progress
- Keep customers updated on order status and follow up on quotations and repeat orders
- Resolve order issues by liaising with customers and internal teams
- Maintain accurate customer and order records in our systems
- Prepare delivery notes, assist in arranging deliveries, and share stock reordering on a team rotation
Required competencies and certifications
- GCE O-Level or equivalent, with at least 2 years in sales support, customer service or order processing. Industry experience is not needed as full training is provided
- Proficient with computers and quick to learn new software
- Strong organisational skills to manage multiple jobs, with a responsible, proactive approach to following up on tasks
- Effective English communication skills for customers and colleagues
- A friendly, cooperative attitude towards customers and colleagues, how you work with people matters as much as what you know
Preferred competencies and qualifications
- Ability to communicate in a second language, Mandarin, Malay, Tamil or any other, to support customers who are more comfortable communicating in a language other than English
Working Hours
- Monday to Thursday: 8.00am to 5.30pm
- Friday: 8.00am to 5.45pm
- Lunch break: 12.00pm to 1.00pm
- Location: 26 Kallang Place, Singapore
- This is a fully on-site position, remote work is not available
Compensation and Benefits
- Monthly salary range: $2,500 to $3,000, based on experience
- Training provided to develop product and process knowledge
- Overtime pay for hours worked beyond normal schedule
- Performance-based bonus, paid twice a year
