Requirements
- Bachelor's degree in Facilities Management, Engineering, Construction Management, or a related field.
- Minimum 10 years of progressive experience in facilities management, with a significant focus on managing upgrading and renovation projects.
- Proven track record of successfully delivering complex facility projects on time and within budget.
- Strong knowledge of building systems, maintenance practices, and relevant health and safety regulations.
- Proficiency in project management software and tools.
- Excellent leadership, communication, negotiation, and interpersonal skills.
- Ability to manage multiple projects simultaneously and work effectively under pressure.
- Relevant professional certifications (e.g., FMP, CFM, PMP) are highly desirable.
Working Conditions
- Primarily office-based, with frequent site visits to various facilities and project locations.
- May require occasional work outside of standard business hours to oversee critical project phases or respond to emergencies.
Job Description
The Facility Manager (Projects & Infrastructure Upgrades) is responsible for overseeing the planning, execution, and completion of all facility upgrading and renovation projects. This role ensures that all facilities are maintained to high standards, meet operational needs, comply with safety regulations, and support the organisation's strategic objectives. The manager will lead project teams, manage budgets, coordinate with contractors and vendors, and ensure minimal disruption to daily operations during project implementation.
Key Responsibilities:
1. Project Management & Execution:
- Lead and manage facility upgrading, renovation, and expansion projects from conception to completion.
- Develop detailed project plans, including scope, objectives, timelines, resource allocation, and budget.
- Oversee the tendering process, evaluate bids, and select qualified contractors and vendors.
- Manage contracts and ensure adherence to terms and conditions.
- Monitor project progress, identify potential risks, and implement mitigation strategies.
- Conduct regular site inspections to ensure quality of work, adherence to specifications, and compliance with safety standards.
- Manage project budgets, track expenditures, and ensure cost-effective solutions.
- Coordinate with internal stakeholders (e.g., IT, HR, operations) to minimise disruption during projects.
- Ensure all projects are completed on time, within budget, and to the required quality standards.
2. Facility Operations & Maintenance (supporting role to Facility team):
- Develop and implement preventative maintenance programmes for all building systems (HVAC, electrical, plumbing, fire safety).
- Oversee routine maintenance, repairs, and inspections of facilities.
- Manage hard & soft service contracts for mechanical, electrical, building services, cleaning, landscaping, waste management, and other facility services.
- Respond to facility-related emergencies and coordinate necessary repairs.
- Ensure compliance with all health, safety, and environmental regulations.
- Implement energy efficiency initiatives and sustainable practices.
3. Strategic Planning & Development:
- Contribute to long-term strategic planning for facility development and infrastructure improvements.
- Conduct facility audits and assessments to identify areas for improvement and potential upgrade projects.
- Research and recommend new technologies, materials, and methods to enhance facility performance and efficiency.
- Prepare reports and presentations on facility performance, project status, and future recommendations for senior management.
4. Team Leadership & Stakeholder Management:
- Lead, mentor, and develop a team of facility staff and technicians (if applicable).
- Foster strong relationships with contractors, vendors, and service providers.
- Communicate effectively with all levels of the organisation regarding facility matters and project updates.
- Manage stakeholder expectations and ensure their needs are met throughout project lifecycles.
5. Budget & Financial Management:
- Develop and manage the annual facilities operating and capital expenditure budgets.
- Approve invoices, track expenses, and ensure financial accountability for all facility-related activities and projects.
- Identify cost-saving opportunities without compromising quality or safety.
