Job responsibilities
- Receive and log service requests from clients, ensuring accurate and complete information.
- Prioritize and schedule service appointments based on urgency and technician availability.
- Communicate with customers to confirm service appointments and provide relevant details.
- Manage the Service hotline during office hours and divert to the standby cellphone for after-office hours.
- Maintain accurate and up-to-date records of service requests, appointments, and technician schedules.
- Generate and update service reports, including job details, parts used, and labor hours.
- Act as a point of contact for customers, providing updates on service progress and addressing inquiries.
- Issue quotations to customers using Microsoft Business Central.
- Confirm sales orders in Microsoft Business Central upon receiving purchase orders from customers.
- Generate and process service invoices for completed jobs.
Job Requirements
- Diploma or equivalent (Bachelor's degree is a plus).
- Field of study in Business Administration, Office Management, or a related field (preferred).
- Proven experience in administrative roles, preferably in a service-related industry.
- 0-3 years of experience.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent communication skills, both verbal and written.
- Proficiency in using office software (e.g., Microsoft Office, Microsoft Business Central).
- Familiarity with customer relationship management (CRM) systems is a plus.
- Basic knowledge of commercial kitchen equipment or similar technical fields is not required but a plus.
