About Pilatique

Pilatique is a Pilates, rehabilitation and instructor-education group operating in Singapore and Malaysia.

In Singapore, we operate three studios at Gemmill Lane, Centrium Square and Bukit Timah Plaza, providing Private and Duet Pilates sessions, rehabilitation-focused Pilates and STOTT PILATES® instructor education.

We are looking for a Studio Coordinator – Client Experience, Sales & Operations to support our clients, instructors and daily studio operations.

This is more than a front-desk position. The role involves managing the client journey from first enquiry through booking, attendance, follow-up and renewal, while helping our studios run smoothly and professionally.

Key Responsibilities

Client Enquiries, Sales & Follow-Up

  • Respond promptly and professionally to enquiries through WhatsApp, phone, email and walk-ins.
  • Understand prospective clients' needs and guide them towards an appropriate first session or service.
  • Follow up with prospective clients who have not yet booked.
  • Explain services, packages and pricing clearly and accurately.
  • Support package renewals and recommend appropriate services based on client needs.
  • Maintain accurate records of enquiries, follow-ups and outcomes.
  • Work closely with instructors to ensure relevant client information is communicated appropriately.

Client Experience & Front Desk

  • Welcome clients and create a warm, calm and professional studio experience.
  • Handle check-ins, payments, package enquiries and booking-related questions.
  • Build positive relationships with regular clients.
  • Take ownership of client concerns and coordinate appropriate solutions.
  • Follow through on client issues until they are appropriately resolved or escalated.

Bookings, Scheduling & Instructor Coordination

  • Manage appointments, cancellations, waitlists and schedules using Mindbody.
  • Maintain accurate client and booking records.
  • Coordinate with instructors regarding schedule changes and client requirements.
  • Help optimise available appointment slots and studio utilisation.
  • Assist with instructor scheduling and coverage matters when required.

Studio Operations

  • Carry out opening and closing procedures.
  • Ensure reception, Pilates areas and common spaces are organised and ready for clients.
  • Monitor studio supplies and coordinate replenishment where required.
  • Report maintenance and equipment issues promptly.
  • Support operational requirements across Pilatique's Singapore studios when required.
  • Follow Pilatique's operating procedures and service standards.

Reporting & Administration

  • Maintain accurate records of leads, bookings, conversions and client follow-ups.
  • Complete agreed daily, weekly and monthly reports.
  • Highlight recurring client issues, operational problems or opportunities to management.
  • Support studio promotions, events, workshops and other initiatives.
  • Provide general administrative and operational support to the studio management team.

Instructor Education Support

Pilatique Singapore is also a STOTT PILATES® Licensed Training Centre.

The Studio Coordinator may occasionally support the Education team with:

  • Student enquiries and registrations.
  • Course administration.
  • Student communications.
  • Studio and course preparation.
  • Workshops, examinations and instructor-education activities.

Requirements

  • Preferably 1–3 years of experience in customer service, hospitality, fitness/wellness, membership services, retail or another customer-facing environment.
  • Strong customer-service and interpersonal skills.
  • Confident communicating with clients face-to-face, through WhatsApp, by phone and by email.
  • Good written and spoken English.
  • Organised and detail-oriented, with the ability to manage multiple enquiries, bookings and follow-ups.
  • Comfortable explaining pricing, packages and services to clients.
  • Able to work independently and make reasonable decisions during studio operating hours.
  • Takes ownership of responsibilities and follows tasks through to completion.
  • Comfortable learning booking, CRM and reporting systems.
  • Able to work across our Singapore studio locations when operationally required.

Advantageous but Not Essential

  • Experience in Pilates, physiotherapy, fitness, healthcare or wellness.
  • Experience using Mindbody or a similar booking system.
  • Experience in sales, membership services or client retention.
  • Interest in Pilates, rehabilitation, movement or health.
  • Experience working within a multi-location business.

Working Schedule

The position is primarily based at Gemmill Lane, with occasional deployment to Centrium Square or Bukit Timah Plaza according to operational requirements.

The regular working schedule is:

Monday to Friday: 1.00pm – 9.00pm Saturday: 12.00pm – 4.00pm

Applicants should be comfortable with the stated afternoon and evening working schedule.
