Role Overview
We are seeking a Technical Executive to support the procurement and technical requirements of vessels managed by a ship management company.
The successful candidate will be responsible for sourcing marine spare parts, equipment and services, processing vessel requisitions and coordinating timely deliveries. Candidates should have 3–5 years of purchasing experience within a ship management environment, preferably supporting tanker vessels.
Key Responsibilities
- Process vessel requisitions for spare parts, equipment, stores and technical services.
- Source suitable suppliers and obtain competitive quotations.
- Evaluate quotations based on price, quality, availability, specifications and delivery schedules.
- Prepare purchase orders and obtain the necessary internal approvals.
- Coordinate deliveries with vessels, suppliers, agents, freight forwarders and port representatives.
- Monitor order progress and ensure items are delivered within the required timeframe.
- Liaise with Technical Superintendents and vessel personnel to clarify technical specifications.
- Verify invoices, delivery orders and supporting documents against purchase orders.
- Maintain accurate purchasing records and update procurement or ERP systems.
- Monitor the availability of critical spare parts and follow up on urgent vessel requirements.
- Negotiate pricing, payment terms and delivery arrangements with suppliers.
- Resolve supply delays, incorrect deliveries, quality issues and invoice discrepancies.
- Support the evaluation and performance monitoring of vendors and service providers.
- Assist with technical budget tracking and procurement cost control.
- Maintain an updated database of suppliers, quotations and purchasing activities.
- Ensure procurement activities comply with company policies and applicable marine requirements.
- Provide administrative and coordination support to the technical department.
Requirements
- Diploma or degree in Marine Engineering, Maritime Studies, Supply Chain, Logistics or a related discipline.
- 3–5 years of purchasing or procurement experience with a ship management company.
- Experience supporting tanker vessels is preferred.
- Familiarity with marine spare parts, machinery, equipment and technical services.
- Good understanding of vessel requisitions, quotation evaluation, purchase orders and delivery coordination.
- Able to interpret basic technical descriptions, manuals and equipment specifications.
- Strong negotiation, coordination and problem-solving skills.
- Detail-oriented and able to manage multiple urgent requirements simultaneously.
- Proficient in Microsoft Office and purchasing or ERP systems.
- Able to work independently and respond promptly to urgent vessel requirements.
