Job Purpose
The Logistics Coordinator will be responsible for coordinating import/export shipments, preparing shipping and customs documentation, liaising with freight forwarders and internal departments, and ensuring timely movement of materials and goods while complying with customs and company requirements.
Key Responsibilities
- Prepare, review, and maintain shipping documents such as Commercial Invoice, Packing List, Bill of Lading/Air Waybill, Delivery Note, Certificate of Origin, and other required logistics documents.
- Coordinate Sea, Air, Land, and Courier shipments with freight forwarders, transporters, shipping lines, airlines, and courier companies.
- Coordinate with Customs, Sales, Loading & Packing, Warehouse, Production, and other internal departments to ensure shipments are processed smoothly and on time.
- Arrange shipment bookings and follow up on vessel, flight, and delivery schedules.
- Track shipments from dispatch to final delivery and provide timely updates to concerned departments.
- Ensure all shipping and customs documents are complete, accurate, and submitted within the required timelines.
- Follow up on customs clearance and coordinate with concerned teams to resolve any documentation or clearance issues.
- Support the preparation and processing of Certificate of Origin and other import/export documentation.
- Obtain and compare freight quotations from logistics service providers when required.
- Coordinate loading, packing, collection, transportation, and delivery arrangements.
- Maintain proper records of shipments, freight documents, and related logistics transactions.
- Assist in resolving shipment delays, delivery discrepancies, and other logistics-related issues.
- Ensure compliance with company procedures and applicable customs and shipping requirements.
Requirements
- Diploma or Bachelor’s degree in Logistics, Supply Chain, Business Administration, Commerce, or a related field.
- Relevant experience in Logistics Coordination, Shipping, Import/Export, or Freight Forwarding.
- Good understanding of Sea, Air, Land, and Courier shipment procedures.
- Familiarity with shipping documentation such as Commercial Invoice, Packing List, BL, AWB, and Certificate of Origin.
- Knowledge of UAE customs and import/export procedures is preferred.
- Experience coordinating with freight forwarders, customs teams, warehouse, and internal departments.
- Good communication, coordination, and follow-up skills.
- Proficiency in MS Office, especially Excel and Outlook.
- Strong attention to detail and ability to manage multiple shipments and priorities simultaneously.
