What is the role

The Project Coordinator provides administrative, procurement, vendor management, and project coordination support for Workplace Technology projects across the APAC region. This role works closely with Project Managers, Finance, Procurement, Technology teams, and external vendors to support successful project delivery while ensuring compliance with internal governance and approval processes.

The following include but may not be limited to the responsibilities of the Service Coordinator:

  • Coordinate project activities, schedules, meetings, and action items to support project delivery.
  • Prepare and maintain project documentation, reports, trackers, and status updates.
  • Manage procurement activities, including vendor quotations, purchase requisitions (PRs), purchase orders (POs), and approvals.
  • Liaise with vendors to coordinate pricing, deliveries, installations, and project timelines.
  • Monitor project milestones and proactively follow up on outstanding actions.
  • Support invoice validation and payment tracking to ensure procurement records remain accurate.
  • Maintain organized project, procurement, and financial documentation.
  • Provide administrative and operational support to Project Managers and the wider project team.

  • Client’s Site (Changi)
  • Monday – Friday

Who we are looking for

Successful candidate must possess:

  • At least 5 years of experience in project coordination, project administration, procurement, vendor management, or a similar role.
  • Experience supporting technology, workplace technology, infrastructure, or operational projects.
  • Sound understanding of procurement processes, including PR and PO management.
  • Experience working with vendors, suppliers, and cross-functional stakeholders.
  • Strong attention to detail and the ability to effectively manage project documentation and reporting.
  • Excellent communication and relationship-building skills.
  • Confidence working independently while managing competing deadlines.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Experience with procurement platforms such as SAP Ariba or similar systems is highly regarded.
  • A proactive, solutions-focused approach with a commitment to delivering quality outcomes.
