About Us

We are a boutique Virtual Assistant Agency that partners exclusively with Independent Registered Investment Advisors (RIAs) to provide high-level administrative and client service support. Our mission is to bring calm, organization, and white-glove service to advisory firms so they can focus on serving their clients well. We value integrity, attention to detail, proactive communication, and a heart for service.

Position Overview

We are seeking a reliable, detail-oriented Client Service Associate to support financial advisory clients with day-to-day administrative and client service tasks. This role is ideal for someone who enjoys creating order, following processes, and supporting both advisors and their clients behind the scenes.

You will work remotely as part of a small, collaborative team and receive structured training and ongoing support.

Key Responsibilities

Client Service & Administrative Support:

  • Manage and respond to client emails in a professional, timely manner
  • Schedule client meetings and manage advisor calendars
  • Prepare meeting materials and follow-up items
  • Assist with client onboarding and account maintenance tasks
  • Prepare paperwork for Advisor’s clients
  • Maintain accurate client records in the CRM system
  • Track tasks and follow documented workflows and procedures

Operations & Team Support:

  • Update internal systems and workflows
  • Communicate proactively with Advisors
  • Identify inefficiencies or errors and suggest improvements
  • Protect client confidentiality and handle sensitive information with care

Required Skills & Qualifications

  • Strong written and verbal communication skills
  • Exceptional attention to detail and accuracy
  • Highly organized and able to manage multiple tasks
  • Comfortable following systems, checklists, and standard operating procedures
  • Tech-savvy with the ability to learn new software quickly
  • Reliable internet connection and quiet home workspace

Strongly Preferred

  • At least 2 years of experience working with financial advisors, RIAs, or wealth management firms
  • Familiarity with Wealthbox, RedTail, Charles Schwab, DocuSign, scheduling tools, and document management systems

Compensation

Other Conditions

  • Due to the nature of this business, confidentiality and data security are paramount. All contractors will be subject to background checks.
  • This will be a part-time, independent contractor position to start, but has the potential to grow into a full-time position.
