Position Overview

The Small Projects Sales Executive joins our inside sales group and leads commercial HVAC projects from the initial customer request or service recommendation through installation, completion, and invoicing. The role combines technical sales, estimating, and hands-on project management: evaluating customer needs, developing practical solutions, pricing and selling the work, purchasing equipment and materials, and coordinating installation and subcontractors so each project delivers on its commitments.

Projects include commercial HVAC replacements, installations, upgrades, and larger repairs, such as water-source heat pumps, rooftop units, split systems, small ductwork installations and modifications, medium-sized piping and controls projects, projects involving subcontracted trades, and larger repairs assigned for dedicated sales and project oversight.

Responsibilities

Develop Opportunities and Sell Solutions

  • Receive and qualify customer requests, technician recommendations, and opportunities identified by the service team.
  • Conduct site visits to inspect equipment, verify field conditions, and understand customer requirements.
  • Clarify project goals, operating needs, budget, access restrictions, and scheduling expectations.
  • Develop solutions that address equipment performance, reliability, installation requirements, and customer priorities.
  • Prepare estimates and proposals with clear scopes, pricing, exclusions, and project expectations.
  • Present recommendations, follow up consistently, negotiate within approved guidelines, and close profitable work.
  • Identify related improvements and additional project opportunities through customer relationships and site evaluations.

Estimate and Plan the Work

  • Measure and assess existing ductwork, piping, and equipment to establish installation requirements.
  • Size and select equipment and associated components, coordinating with technical resources and manufacturers as needed.
  • Evaluate electrical and service requirements, controls integration, equipment access, rigging, and removal needs.
  • Estimate labor, equipment, materials, subcontractor costs, and other project expenses.
  • Obtain supplier and subcontractor quotations and confirm scope, availability, and lead times.
  • Plan installation sequencing, shutdowns, and customer coordination to minimize disruption to building operations.

Manage Projects Through Completion

  • Maintain ownership of sold projects from purchasing and scheduling through completion and invoicing.
  • Purchase equipment and materials, track deliveries, and coordinate availability with installation schedules.
  • Coordinate internal field personnel and subcontractors, establishing clear scopes, schedules, and expectations.
  • Monitor job progress, labor hours, material costs, and subcontractor expenses against the estimate.
  • Resolve field issues promptly and communicate changes, delays, and required decisions to customers and internal teams.
  • Document scope changes and secure approval for additional work before proceeding.
  • Coordinate required inspections, startup, testing, and completion activities with the appropriate teams.
  • Confirm completed work meets the agreed scope and customer requirements, resolve punch-list items, and coordinate accurate, timely invoicing.
  • Maintain current opportunity, job-cost, and project records in company systems.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
