Description of Work
Join the North Carolina Zoo during an exciting period of growth as we prepare for the opening of Asia! The North Carolina Zoo is seeking to hire an Administrative Assistant to support our Security, Risk Management and Safety team. The Security and Risk Management Administrative Assistant provides administrative and operational support to the Zoo’s Security and Risk Management Director. The role focuses on maintaining accurate records, coordinating safety and security documentation, supporting incident reporting, and assisting with compliance, risk assessments, and emergency preparedness activities to ensure a safe environment for visitors, staff, volunteers, and animals.
Key Responsibilities: • Provide comprehensive administrative support for the Security and Risk Management department, including maintaining organized records, preparing reports and correspondence, and supporting meetings and training coordination. • Manage calendars, schedule meetings, coordinate training sessions, and maintain documentation related to incidents, investigations, and safety processes. • Assist with logging, tracking, and filing security incidents, accidents, near-miss reports, and related risk management documentation. • Support risk assessments, audits, and compliance efforts by compiling data, monitoring adherence to safety policies, and maintaining regulatory and accreditation documentation. • Maintain security and risk management databases, generate routine reports, track incident trends, and assist with basic data analysis. • Serve as a point of contact between security staff, internal departments, contractors, visitors, and external stakeholders, assisting with communication of safety notices and policy updates. • Assist with planning and coordinating drills, safety training, and induction programs while maintaining training attendance records and certifications.

Recruitment Range: $39,244 - $48,000

Candidates meet the minimum qualifications of this position if they meet the minimum education and experience listed on the vacancy announcement. Vacancy specific knowledge, skills, and abilities (KSAs) and/or management preferences are not required. Applicants who possess the following are preferred:
- Diploma or degree in administration, security management, risk management, or a related field
- Previous administrative experience, preferably in security, risk, facilities, or a similar environment
- Experience working in a zoo, wildlife park, or public venue is an advantage
- Experience in creating training manuals and reviewing policy
- First Aid/ CPR Certification
Position/Physical Requirements
- Work schedule: Monday – Friday, 8am – 5pm
- Must be able to work weekends, holidays and after regular work shifts, as needed
- Must have a valid driver’s license issued from within the United States or be able to obtain one within 90 days of employment.
- Must be able to comply with all North Carolina Zoo policies and guidelines.
- Must possess strong organizational and time-management skills
- Must have a high attention to detail and accuracy
- Must have good written and verbal communication skills
- Must have the ability to handle sensitive and confidential information
- Proficiency in Microsoft Office or similar software
- Must have the ability to work calmly and independently under pressure while managing competing priorities
- Knowledge of data management and analysis techniques

Veteran’s and National Guard Preference
