The Role

As an Office Assistant at Octopus Legacy, you'll keep our Bristol office running - and make sure every piece of post that comes through our door gets to the right place, fast.

You'll open, scan and log all our incoming post against the right case, so our probate team can act on it straight away. Much of it relates to someone who has recently died, so

accuracy and discretion matter. A missed letter can hold up an estate for a grieving family.

Alongside the post, you'll look after the office day to day: deliveries, supplies, visitors, and keeping everything organised and working.

You don't need a legal background. If you're organised, reliable and take pride in getting the details right, we'll teach you the rest.

Key Responsibilities

  • Open, sort, scan and log all incoming post daily, saving each item to the correct case.
  • Flag urgent or time-sensitive items, like court documents, HMRC letters and cheques,
  • to the right person straight away.
  • Handle original documents with care, including wills, death certificates and grants of Probate.
  • Prepare and send outgoing post, including recorded and special delivery, and arrange couriers.
  • Keep our physical records and original documents catalogued, filed and easy to find.
  • Run the office day to day: deliveries, visitors, supplies, and liaising with the building
  • and suppliers.
  • Keep client information confidential at all times and follow our data protection
  • procedures.

  • Discreet and trustworthy with sensitive information.
  • Confident with everyday tech and quick to pick up new systems.
  • Proactive, spotting what needs doing before you're asked.
  • Calm, kind and professional, especially when the subject matter is difficult.
  • Office or post room experience is a bonus, not a requirement - we'll train you on therest.
