THE ROLE
Our office is where Ode's culture shows up every day. It's in how a new hire's first morning goes, how a client feels walking in, and whether the team wants to be here on a Tuesday.
As we scale, keeping that culture strong gets harder and matters more. That's where you come in.
This is a high-visibility role with real impact. You'll own our San Francisco headquarters end to end and work closely with leadership, Recruiting and IT to make sure the office keeps up with a fast-growing company, and helps lead it. As we add space, people and new locations, you'll build the systems behind it. You'll use AI to clear the busywork, so your time goes to the moments people remember.

WHAT YOU'LL DO
OFFICE OPERATIONS
- Run day-to-day operations of our SF headquarters, including supplies, equipment, furniture, mail and packages, and building access
- Run our lunch and snack programs end to end: menus, headcounts, delivery schedules and vendor performance
- Manage office spend against budget, invoices and expense tracking
- Run regular facilities audits to keep the space well maintained, fully stocked and ready for clients and candidates
OFFICE COMMUNICATIONS
- Own all office communications, so the team always knows what's changing, when and why
- Give the team clear ways to share feedback, and act on what you hear
- Make sure everyone knows where to go to ask for help or report an issue
- Set the bar for clear, timely, friendly communication across every office update
BUILDING AND VENDORS
- Be our day-to-day contact for building management, covering access, work orders, service requests and vendor certificates of insurance
- Track vendor performance against service levels, and escalate when something slips
- Keep vendor relationships strong and flag upcoming renewals
WORKPLACE EXPERIENCE
- Plan and support team events, offsites and in-office weeks, covering every detail from start to finish, plus the surprise-and-delight moments that make Ode feel like Ode
- Facilitate the new hire day one experience: desk setup, equipment and access cards, ready on arrival
- Host every visitor, client and candidate with a warm, professional welcome
MOVES AND SEATING
- Run the logistics of seating changes, moves and new-floor setups, and keep the team informed at every step
SYSTEMS AND PLAYBOOKS
- Build and run one place for office requests, with clear response times and follow-through
- Manage guest access, inventory and office records
- Write and maintain office playbooks and the team FAQ
- Help translate our operations to new and upcoming locations, supporting where needed
- Use AI to automate workflows wherever it can do the job better
SAFETY
- Run our EHS program, fire drills, and first aid and CPR readiness
WHAT SUCCESS LOOKS LIKE
In your first 90 days:
- The office runs smoothly day to day, and the team knows exactly where to go for help
- You've built strong relationships with building management and our core vendors
- Office requests come through one place, with clear response times
- You've automated a few repetitive tasks with AI
- You're helping plan our next phase of space, and the team feels informed along the way
YOU MAY BE A GOOD FIT IF YOU
- Have 4+ years running an office or workplace operations, ideally at a startup or fast-growing company
- Are excited to use AI in all things office management, and to automate anything that can be automated
- Have managed vendors and worked within a budget
- Take ownership from start to finish and close every loop
- Stay calm and kind when three things break at once
- Read people well, can empathize and is an excellent communicator
- Have low ego, high standards and a sense of humor
STRONG CANDIDATES MAY ALSO HAVE
- Supported an office move, buildout or expansion
- Supported more than one office or floor
- A hospitality or events background
- CPR or first aid certification

LOCATION
San Francisco, CA
- Full time, on site Monday through Thursday, plus some Fridays as needed, in our Financial District office, San Francisco
- Typical hours 8:30am (or earlier) to 5:30pm, with flexibility for early mornings, moves and evening events
- Able to lift up to 25 lbs, with or without reasonable accommodation
