Job Description:

This recruitment will be used to fill one part-time (a maximum of 24 hours per week) VITA IT Support Student Worker position for the Volunteer Income Tax Assistance (VITA) Program in the College of Business at Oregon State University (OSU).

OSU VITA prepares free federal and state tax returns for low- and moderate-income Oregonians. It is a partnership between the College of Business, OSU Extension, and the Internal Revenue Service, and it runs on a real IT footprint: laptops and Chromebooks deployed across multiple sites, secure networking, tax preparation software, volunteer account management, and a help desk that has to work on a Saturday morning in February when a family is waiting on their refund.

This is a hands-on technical role on a small, collaborative team, and it is broader than a help desk job. You will own the seasonal build-out and upkeep of the systems the program runs on: laptops, Chromebooks, and printers deployed to sites across Oregon, the client appointment and intake platforms, the phone and hotspot systems, and the volunteer scheduling software. Our core systems are established and documented, so the work is configuration, testing, support, and improvement rather than design from scratch. You will leave the year with real experience administering business software platforms end to end, supporting users of every skill level, and working inside a regulated data environment — and with the knowledge that the technology you kept running put money back in the pockets of Oregon families.

Position Duties:

  • Prepare, update, and maintain laptops, Chromebooks, printers, and all supplemental hardware used across VITA sites, including imaging, enrollment, testing, and update cycles.
  • Learn, configure, and manage the client appointment and intake software throughout the season — primarily Acuity and Qualtrics — including calendar setup, survey routing, and ongoing monitoring to confirm appointments flow correctly.
  • Support the setup and technical administration of volunteer management and scheduling software and of telecom systems, including the program phone system, dial plan, and mobile hotspot.
  • Assist staff, site coordinators, and volunteers with training, troubleshooting, and problem solving on hardware and non-tax software; provide this support to all VITA sites, both in person and remotely.
  • Execute seasonal start-up and shutdown processes for hardware and software, working from established program checklists and documentation.
  • Support the functional aspects of program reporting, and provide limited TaxSlayer administration support such as account setup, roles, and status changes.
  • Maintain IT inventory and equipment records, and keep setup guides and troubleshooting documentation current.

Required Qualifications:

  • Demonstrated experience troubleshooting computer hardware and software (Windows and/or ChromeOS), gained through coursework, employment, volunteer work, or personal projects.
  • Ability to explain technical concepts clearly and patiently to users with a wide range of technical experience.
  • Interpersonal communication skills, including phone etiquette, and a professional, courteous manner with staff, volunteers, and community members.
  • Ability to learn and administer web-based software platforms independently, working from written documentation.
  • Ability to handle confidential taxpayer and volunteer information with discretion.
  • Availability to work a consistent schedule across the full academic year, including scheduled evening and Saturday shifts during the primary tax season, late January through mid-April.
  • Must have or be able to complete IRS VITA/TCE Volunteer Standards of Conduct – Ethics training within 30 days of hire and maintain certification throughout employment.

Preferred Qualifications:

  • Prior VITA, tax preparation, or other IRS volunteer experience.
  • Coursework or experience in Business Information Systems, Computer Science, Information Technology, or a related field.
  • Experience with Google Workspace administration and Chromebook management.
  • Experience with desktop imaging or endpoint management tools.
  • Experience configuring or administering web-based scheduling, survey, or workforce management platforms, such as Acuity, Qualtrics, When to Work, or comparable tools.
  • Experience with Microsoft 365 administration, including group membership and shared mailbox access.
  • Demonstrated knowledge of Windows 11 and familiarity with networking basics, including Active Directory, DNS, and DHCP.
  • Prior customer service or help desk experience in a professional setting.
  • Prior experience working with OSU Information & Technology, College of Business IT, or OSU Extension IT.
  • Language skills, including Spanish, that support service to Oregon’s diverse communities.

Working Conditions/Schedule:

• This is an in-person position based in Corvallis, Oregon, working primarily in Austin Hall. Technical support is provided to VITA sites across Oregon both in person and remotely. • Expect approximately 15–24 hours per week from the start of the appointment through mid-April, not to exceed 24 hours per week. The work is heaviest in configuration and setup during fall term, when hardware is prepared and tested and the appointment, telecom, and volunteer scheduling systems are built out for the season. During the primary tax season, late January through mid-April, the emphasis shifts to user support, triage, and monitoring. Hours are reduced or unavailable between mid-April and October 1. • Scheduled weekday evening and Saturday shifts are required during the tax season. Occasional travel to off-site pop-up VITA events may be required; transportation is arranged and provided by the program. The role involves moving and setting up IT equipment, including lifting items weighing up to 40 pounds.
