We are seeking a highly organized, detail-oriented Administrative & Project Assistant to support our Akron office. This role combines project administration responsibilities with general office support functions and will work closely with project managers, technical staff, and office leadership to help keep projects and office operations running smoothly.
The Administrative & Project Assistant serves as a key support resource providing project coordination assistance to engineering and design staff while also managing daily office administrative needs. This position will support all Akron employees, with dedicated project assistance provided to senior staff and project managers.
The ideal candidate enjoys working in a fast-paced environment, demonstrates exceptional attention to detail, and possesses strong organizational, communication, and Microsoft Office skills.
Primary Responsibilities
Project Assistant Duties
- Provide administrative and project support to Akron-based project managers and technical staff.
- Assist with preparation, formatting, editing, and quality review of reports, specifications, proposals, presentations, and project deliverables.
- Support the development and assembly of proposals, RFQs, and RFP responses.
- Prepare transmittals, correspondence, meeting materials, and project documentation.
- Assist with project setup, project plans, reports, and data entry within Deltek.
- Coordinate project document production, printing, binding, and distribution.
- Maintain project files and ensure documentation is organized, accurate, and up to date.
- Support project managers with scheduling, meeting coordination, and follow-up items.
- Perform non-technical quality control reviews of project documents for consistency, formatting, and completeness.
Administrative Assistant Duties
- Serve as the primary administrative support resource for the Akron office.
- Welcome and assist visitors, clients, and vendors.
- Answer and direct incoming calls and inquiries.
- Coordinate office lunches, meetings, and employee events.
- Act as liaison with building management and vendors regarding office-related needs.
- Assist with ordering and maintaining office supplies.
- Coordinate conference room scheduling and meeting logistics.
- Support onboarding activities and general office administration.
- Assist office leadership with special projects and miscellaneous administrative tasks as needed.
Job Requirements/Qualifications
- High school diploma required; associate degree or additional administrative training preferred.
- 3+ years of administrative, project assistant, or office support experience preferred.
- Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Excellent attention to detail and organizational skills.
- Strong written and verbal communication abilities.
- Ability to effectively manage multiple priorities and deadlines.
- Strong customer service mindset and professional demeanor.
- Experience in a professional services, engineering, architecture, or construction environment is a plus.
- Deltek experience strongly preferred.

This position is based full-time in Osborn's Akron office and is not eligible for remote or hybrid work arrangements.

Posted salary ranges reflect market-based averages for the role. Final compensation will be determined based on each candidate’s experience, qualifications, and overall fit for the position.
Salary Range: $55,000 - $70,000
