About the Role

We are seeking an experienced HOA Collections Specialist with strong AppFolio and Accounts Receivable (AR) experience to manage delinquent homeowner accounts for U.S.-based homeowners associations.

This role requires a proactive professional who is comfortable making outbound collection calls, negotiating payment arrangements, and maintaining positive homeowner relationships while ensuring compliance with HOA policies and collection procedures.

Key Responsibilities

Collections & Accounts Receivable

  • Monitor delinquent homeowner accounts and AR aging reports.
  • Make outbound collection calls to homeowners regarding overdue assessments, fees, and outstanding balances.
  • Follow up through phone, email, and written correspondence to collect outstanding payments.
  • Negotiate payment plans and document agreements in accordance with company policies.
  • Process payments, credits, adjustments, and account reconciliations.
  • Prepare and send collection notices, late notices, demand letters, and account statements.

Homeowner Communication

  • Respond to homeowner inquiries regarding account balances, payments, and collection status.
  • Professionally handle difficult conversations while maintaining excellent customer service.
  • Resolve billing discrepancies and escalate complex collection matters when necessary.

AppFolio Management

  • Maintain accurate homeowner ledgers and collection notes within AppFolio.
  • Update payment arrangements, collection activities, and account statuses.
  • Generate AR aging, delinquency, and collections reports for management.

Financial & Administrative Support

  • Reconcile homeowner payments and ensure accurate posting to owner accounts.
  • Coordinate with HOA managers, accounting teams, attorneys, and collection agencies when required.
  • Maintain organized financial documentation and audit-ready records.
  • Assist with month-end AR reconciliation and reporting.

Qualifications & Requirements

  • Minimum 2 years of HOA collections or Accounts Receivable experience.
  • Hands-on experience with AppFolio is required.
  • Strong understanding of HOA assessment collections, owner ledgers, and delinquency management.
  • Experience making high-volume outbound collection calls and negotiating payment arrangements.
  • Excellent verbal and written communication skills with strong conflict resolution abilities.
  • Strong attention to detail, organizational skills, and time management.
  • Ability to manage multiple communities and prioritize competing deadlines.
  • Experience supporting U.S.-based HOA or property management companies is highly preferred.

Additional Requirements

  • Must be currently residing in the Philippines or Latin America.
  • Must have a stable internet connection and a remote-ready workstation.
