Transaction Coordinator – Real Estate Private Equity

About the role

Patriot Holdings, a private equity real estate investment group, is hiring a Transaction Coordinator to drive acquisitions and dispositions from executed LOI through closing. You will own the due diligence process, the closing checklist and the deal calendar, so every transaction closes on time and nothing falls through the cracks.

This role sits on the Investments team and works daily with acquisitions and asset management professionals, outside counsel, lenders, title companies, third-party consultants and sellers or buyers. It suits someone highly organized and detail-driven who wants a front-row seat to institutional real estate transactions.

Key responsibilities

Transaction management

  • Manage acquisitions and dispositions from executed LOI and PSA through closing and post-closing.
  • Build and maintain the master deal calendar, tracking critical dates such as deposits, due diligence expiration, financing contingencies, and closing.
  • Own the closing checklist and coordinate deliverables across internal teams, attorneys, lenders, title, escrow, and counterparties.
  • Run weekly deal status calls and circulate action items and updated trackers.
  • Escalate risks, open issues, and timeline slippage to the deal team early.

Due diligence

  • Prepare seller due diligence request lists tailored to property type and deal structure.
  • Set up, organize, and manage virtual data rooms for both buy-side and sell-side processes.
  • Track receipt and review of diligence items, and follow up on outstanding requests.
  • Order and manage third-party reports: Phase I ESAs, property condition reports, ALTA surveys, zoning reports, appraisals, and seismic reports.
  • Coordinate lease audits, abstracts, estoppel certificates, and SNDAs.
  • Review title commitments, survey exceptions, and UCC, lien, and litigation searches; flag issues for counsel.
  • Support review of rent rolls, operating statements, service contracts, and CAM reconciliations.
  • Summarize diligence findings in memos for the deal team and investment committee.

Closing and post-closing

  • Coordinate document execution, signatures, and closing deliverables with counsel and escrow.
  • Review settlement statements and prorations for accuracy, and coordinate funding and wire instructions.
  • Coordinate with lenders on loan closing requirements, insurance certificates, and entity documents.
  • Support entity formation and maintain organizational charts and authority documents for each deal.
  • Manage the handoff to asset management, property management, and accounting, including tenant notices, utility transfers, and service contract assignments.
  • Compile and archive final closing binders and executed documents.

Dispositions

  • Assemble and maintain sell-side data rooms with brokers and property managers.
  • Respond to buyer diligence requests and coordinate site visits and inspections.
  • Track buyer deliverables, deposit deadlines, and contingency dates.

Process and reporting

  • Maintain deal pipeline and transaction trackers in [Dealpath / Salesforce / Excel].
  • Keep closing checklists, request lists, and templates current, and improve them after each deal.
  • Support investor reporting, lender reporting, and audit requests related to closed transactions.

Qualifications

Required

  • Bachelor's degree in real estate, finance, business, or a related field.
  • 3+ years in commercial real estate transactions, as a transaction coordinator, closing coordinator, paralegal, or analyst at a PE firm, REIT, developer, law firm, or title company.
  • Hands-on experience managing due diligence and closings for income-producing commercial properties.
  • Working knowledge of PSAs, title commitments, surveys, leases, estoppels, and third-party reports.
  • Advanced Excel and strong command of Microsoft Office.
  • Experience with virtual data rooms such as [Datasite, Intralinks, or Box].

Preferred

  • Experience across multiple asset classes: [multifamily, industrial, office, retail].
  • Exposure to acquisition financing and loan closings.
  • Paralegal certificate or real estate license.
  • Familiarity with Dealpath, Yardi, or similar platforms.

What makes you successful

  • Relentlessly organized. You run several deals at once and always know what is outstanding, who owns it, and when it is due.
  • Detail-obsessed. You catch the wrong proration, the missing exhibit, and the estoppel that doesn't match the lease.
  • Proactive communicator. You chase deliverables with persistence and professionalism, and raise problems before they become delays.
  • Calm under deadlines. Closing weeks don't rattle you.
  • Process builder. You leave every checklist and template better than you found it.

Compensation and benefits

  • Base salary plus annual discretionary bonus.
  • Health, dental, and vision insurance; 401(k) with match; paid time off.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
