The Partner Onboarding Communications Specialist supports the successful integration of newly acquired companies into our client's organization by developing clear, timely, and people-focused communications that help employees and leaders understand and navigate organizational and business process changes.
This role works closely with the Partner Onboarding team, functional leaders, and subject matter experts to understand integration activities, identify changes that impact employees, and translate complex business information into practical, easy-to-understand communications.
The ideal candidate is a strong writer who can listen, ask thoughtful questions, connect information across multiple discussions, and independently recognize what needs to be communicated. This position requires the ability to explain not just what is changing, but why it is changing, when it will happen, what employees can expect, and what actions they may need to take.
Responsibilities
- Participates in Partner Onboarding meetings, functional workstream discussions, and planning sessions to understand integration activities, upcoming milestones, business process changes, and potential employee impacts.
- Proactively identifies communication needs by listening to discussions, recognizing changes or decisions that affect employees, and determining what information needs to be shared, with whom, and when.
- Translates complex business processes, operational changes, and integration plans into clear, concise, people-friendly communications that employees and leaders can easily understand and act upon.
- Develops a variety of written communications, including employee announcements, leadership messages, process change notifications, FAQs, transition updates, talking points, presentations, and other onboarding materials.
- Works with functional leaders and subject matter experts to understand current and future business processes, clarify changes, and ensure communications accurately reflect what employees will experience.
- Helps employees understand how changes to systems, processes, responsibilities, policies, and ways of working will affect their day-to-day activities.
- Organizes information gathered from multiple meetings, stakeholders, and project materials to develop cohesive communications that explain the broader transition rather than isolated activities.
- Anticipates employee questions, potential confusion, and areas of concern, incorporating those considerations into communications before they are distributed.
- Partners with Partner Onboarding team to align communications with project milestones, implementation schedules, and employee readiness needs. Learning and Development, making employees ready for when they engage with training. Corporate Communications and Marketing for consistency in how the client engages with employees across the team, and that deliverables are consistent with the client's brand, voice, and established communication standards.
- Adapts messaging for different audiences, recognizing that leaders, office employees, field employees, and functional teams may need different levels of information or context.
- Reviews and edits communications for accuracy, clarity, consistency, and accessibility, removing unnecessary technical language and corporate jargon.
- Manages multiple communication deliverables across concurrent onboarding projects, adjusting priorities as project timelines and business needs evolve.
Qualifications
- Minimum of 5-10 years of professional experience in internal communications, business change communications, organizational change management communications, or a related discipline.
- Demonstrated experience developing communications related to business process changes, system implementations, organizational transitions, or other operational changes that affect how employees perform their work.
- Exceptional writing, editing, and proofreading skills, with the ability to make complex or unfamiliar information understandable to a broad employee audience.
- Strong listening, comprehension, and analytical skills, including the ability to participate in business discussions, synthesize information, identify key changes, and independently determine communication needs.
- Ability to ask thoughtful, targeted questions to clarify business processes, decisions, timelines, and employee impacts.
- Demonstrated ability to take incomplete, complex, or evolving information and develop clear, accurate, actionable messaging.
- Strong interpersonal skills and the ability to build effective working relationships with functional leaders, project managers, and subject matter experts.
- Sound judgment in determining what information is relevant to different audiences and how to communicate sensitive or potentially concerning changes.
- Ability to manage multiple assignments, meet deadlines, and work effectively in a fast-paced environment with shifting priorities.
- Experience using AI tools to quickly synthesize files, meeting recordings, schedules, etc. and produce a first draft on content deliverables. Use AI to move quickly, then the human touch to refine exactly for the audience.
