Job Purpose

The HVAC Coordinator serves as the primary point of contact for customers requiring HVAC service and maintenance. This role coordinates HVAC work orders from initial request through completion by scheduling service providers, obtaining and reviewing quotes, monitoring work progress, and maintaining clear communication with customers and vendors. The HVAC Coordinator ensures HVAC services are completed accurately, efficiently, and on time while maintaining high standards of customer satisfaction.

Responsibilities

  • Coordinate HVAC Services: Assess service needs and coordinate qualified HVAC technicians, subcontractors, or vendors, including scheduling service calls and communicating scope of work, site requirements, and customer expectations.
  • Manage Quotes & Approvals: Obtain and review quotes for HVAC repairs, maintenance, and replacement work, source qualified vendors as needed, and secure required customer approvals.
  • Manage Customer & Vendor Communication: Maintain timely communication with customers and service providers regarding scheduling, service status, delays, recommendations, and completion while building effective working relationships.
  • Monitor Work Orders: Track open work orders, proactively address service delays or issues, and review completed service documentation to ensure work is completed accurately and to the customer's satisfaction.
  • Maintain Documentation & Priorities: Maintain accurate work-order notes, quotes, approvals, service updates, and completion details in PVC Connect and the Customer Portal while managing multiple requests in a fast-paced environment and meeting established productivity and service standards.

Requirements

  • Education: High school diploma or GED required.
  • Related Experience: One to three years of experience in HVAC, facilities management, property management, service coordination, dispatch, or a fast-paced customer service environment preferred.
  • HVAC Coordination: Previous experience coordinating HVAC service calls, technicians, or subcontractors preferred, with a working knowledge of HVAC systems, terminology, preventive maintenance, and common service and repair needs strongly preferred.
  • Quote & Invoice Review: Experience reviewing service quotes, proposals, or invoices is a plus.
  • Technology Skills: Experience using work-order management, CRM, scheduling, or dispatch software preferred.
