Essential Duties and Responsibilities: Include the following, as well as other duties may be assigned.

  • Point person between off-site sales person and local branch
  • Keeps track of sales orders waiting for material
  • Follows up with factories on purchase orders as needed
  • Confirms payment has been received from customer before shipping
  • Coordinates material packing with warehouse
  • Follows up with warehouse on packing status
  • Communicates with customers as needed
  • Communicates with freight carriers and brokers
  • Sends Invoices to customers
  • Completes shipping documents on line or by hand
  • Sends shipping docs to sales person
  • Works with Freight/Logistics Manager to reconcile freight bills as needed

Knowledge, Skills, and Abilities:

  • Communication and Coordination Skills – Ability to communicate clearly and professionally with customers, sales personnel, suppliers, warehouse staff, freight carriers, and other internal departments to coordinate orders and shipments.
  • Organization and Attention to Detail – Strong organizational skills with the ability to track multiple sales orders, purchase orders, shipments, payments, and documentation simultaneously while maintaining accuracy and meeting deadlines.
  • Problem-Solving and Follow-Through – Ability to identify order, material, shipping, or freight issues; follow up with the appropriate parties; and see tasks through to completion with minimal supervision.

Education and Experience:

  • Education – High school diploma or equivalent required; additional coursework or training in business, logistics, supply chain, or a related field preferred.
  • Experience – 1–3 years of experience in sales support, customer service, order processing, logistics, shipping, purchasing, or a related administrative role preferred.
  • Systems/Administrative Experience – Experience working with ERP/order-entry systems, Microsoft Office, email, and online shipping or freight documentation systems preferred; ability to learn company-specific systems and procedures.
