The posting

Company description PHM is the leading health media agency in the US, built for the modern healthcare experience. Here, industry depth meets media scale, where data becomes direction, where creativity and storytelling bring truth to life, and where orchestration replaces fragmentation. Dedicated to making brands discovered, PHM redefines what media can do through data, content, and creativity. Because in modern healthcare, the brands that are found are the ones that lead. And when brands lead, advantage follows. Go deeper. Be found. Overview PHM is seeking a highly organized, proactive, and detail-oriented Manager, Events & Sponsorships to support the planning and execution of the agency’s external event portfolio, with a primary focus on PHM HealthFront and its sponsorship program. Reporting to the VP, Programming & Events, this role will serve as a key project management partner across the full event lifecycle. From planning and vendor coordination through onsite execution, sponsorship fulfillment, and post-event reporting. The Associate will help translate event strategy into seamless execution, keeping multiple workstreams, stakeholders, deadlines, budgets, and deliverables moving forward. While HealthFront will be the primary focus, this role will also support proprietary client events, executive meetings, dinners, training sessions, and other internal or sponsor-related events as business needs require. The Manager will work cross-functionally with Marketing & Communications, Sponsorships, Creative/Design, Production, Finance, Operations, and other agency teams, as well as external vendors, venues, and partners. Success in this role requires the ability to manage details without losing sight of the larger event experience, anticipate needs, identify potential issues before they arise, and bring structure and accountability to complex projects. This is an opportunity for an experienced event professional to play a meaningful role in the continued evolution of PHM’s event and sponsorship programs while helping the team find smarter, more efficient ways of working—including the thoughtful use of AI and emerging event technologies. Responsibilities Event Planning & Project Management Support the VP, Programming & Events in the planning and execution of PHM HealthFront, with primary day-to-day responsibility for event operations and sponsorship execution. Develop and maintain comprehensive project timelines, workback schedules, task trackers, and key milestones across multiple event workstreams. Serve as a central point of contact to coordinate deliverables, dependencies, approvals, and deadlines across internal teams and external partners. Develop detailed event plans, logistical plans, and onsite checklists. Coordinate site visits and manage logistics across venues, production, catering, transportation, vendors, and other third-party suppliers. Identify potential challenges, dependencies, or gaps early and proactively develop solutions. Support the planning and execution of proprietary client events, executive meetings, dinners, training sessions, and other agency events as needed. Maintain consistent standards for PHM's brand, quality, hospitality, and sustainability across events. Continuously identify opportunities to improve event processes, workflows, and attendee experiences. Sponsorship Management Own the day-to-day operational management of the HealthFront sponsorship program, ensuring all sponsor commitments and deliverables are executed accurately, on time, and at the expected level of quality. Serve as the primary project management liaison between sponsors, internal stakeholders, vendors, and the event team. Manage sponsor timelines, deliverables, approvals, logistics, registrations, and onsite requirements. Coordinate sponsor contracts and required documentation. Manage sponsor branding and asset collection, including logos, design files, registration-site branding, and other event materials. Coordinate sponsor hospitality and branded elements, including gift bags, apparel, F&B allocations, and other physical deliverables. Manage sponsor activations from planning through onsite execution, including external vendor coordination, contracting, purchase orders, payments, logistics, and post-event follow-up. Manage sponsor and partner ticket allocations, invitations, registrations, substitutions, and onsite needs. Partner with Marketing & Communications and Creative/Design to ensure sponsor deliverables are integrated appropriately into event communications and the overall PHM brand experience. Support post-event sponsor follow-up, feedback collection, and reporting. Cross-Functional Collaboration Partner closely with Marketing & Communications on event invitations, attendee communications, registration, event materials, branding, and pre- and post-event communications. Collaborate with Creative/Design, Production, Finance, Operations, Programming, and other business functions to coordinate event deliverables and resolve issues. Communicate project status, risks, decisions, and outstanding needs clearly and proactively. Registration, Data & Technology Manage event registration workflows using platforms such as Swoogo and Cvent, including invitations, registration, ticket allocations, attendee changes, and reporting. Maintain accurate attendee and sponsor data and produce registration and attendance reports. Identify opportunities to leverage AI, automation, and emerging event technologies to improve planning, workflows, communications, reporting, and overall efficiency. Evaluate and implement process improvements that reduce manual work and improve visibility across the event lifecycle. Budget & Reporting Support event budget development and ongoing budget tracking. Monitor expenses against approved budgets and flag potential variances or issues. Coordinate purchase orders, invoices, vendor payments, and required Finance documentation. Maintain accurate budget and sponsorship trackers. Onsite Event Operations Support and, where appropriate, lead onsite execution across registration, vendor coordination, sponsor activations, logistics, and troubleshooting. Serve as a key onsite point of contact for internal stakeholders, sponsors, vendors, and partners. Coordinate with production, catering, venue teams, and third-party suppliers to ensure event elements are delivered according to plan. Ensure event execution reflects PHM's quality, brand, hospitality, and sustainability standards. Travel within the NYC and Philadelphia areas approximately 25% of the time, with additional travel as business needs require. Events may occasionally require work outside of standard business hours. Qualifications 3+ years of experience in event planning, event operations, sponsorships, project management, or a related field. Experience managing corporate, agency, healthcare, financial services, professional services, or other complex business events preferred. Demonstrated experience managing multiple projects, workstreams, or events simultaneously. Strong project management skills with exceptional attention to detail and follow-through. Ability to manage complex timelines, competing priorities, and multiple stakeholders in a fast-paced environment. Strong written and verbal communication skills, with the ability to communicate effectively with senior leaders, clients, sponsors, vendors, and internal teams. Experience working with executive leadership and external partners. Strong problem-solving skills and the ability to anticipate issues and independently drive solutions. Comfortable taking ownership of projects and deliverables while knowing when to escalate issues or seek direction. Proficiency with Microsoft Office and project/event management platforms; experience with Swoogo, Cvent, Box, or similar platforms preferred. Comfortable learning and applying new technologies, including AI-enabled tools and workflows. Willingness to work onsite and outside standard business hours when required by events. Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
