Human Resource Management
Manage employee recruitment, selection, onboarding and offboarding.
Maintain employee records, employment contracts, personnel files and HR documentation.
Coordinate attendance, leave records, payroll preparation and employee-related matters.
Assist with employee relations, welfare, accommodation arrangements and general HR administration.
Foreign Worker and Work-Pass Administration
Coordinate Work Permit, S Pass and Employment Pass applications, renewals, cancellations and related administrative processes.
Manage In-Principle Approval (IPA), electronic pass issuance and other employment-pass documentation.
Coordinate medical examinations, fingerprint appointments, bank-account applications, travel arrangements and worker onboarding.
Monitor pass validity, renewal deadlines and relevant employee documentation.
Project and Operations Coordination
Coordinate manpower deployment and worker allocation according to project requirements.
Liaise with project managers, supervisors, clients and subcontractors on manpower, site documentation and operational matters.
Monitor administrative progress and follow up on outstanding project requirements.
Support management in operational planning, reporting and coordination between departments.
Finance and Commercial Administration
Coordinate invoice preparation, payment follow-ups and accounts-receivable documentation.
Assist with quotations, purchase orders, supplier comparisons and commercial correspondence.
Maintain records of outstanding payments and support debt-recovery follow-ups.
Liaise with the finance team, clients and suppliers regarding billing and administrative matters.
Tender and Documentation Management
Coordinate tender submissions, quotations, company profiles and supporting documents.
Prepare business correspondence, reports, letters and administrative submissions.
Maintain organized records for contracts, project documents and company administration.
Compliance and Management Support
Ensure HR and administrative processes follow company policies and applicable Singapore employment requirements.
Coordinate documentation required by relevant authorities and external service providers.
Prepare management reports and support management in daily operational decision-making.
Perform other relevant duties within the scope of the position.
