The posting

Quantios was formed from the merger of TrustQuay and Viewpoint and brings together the unique but complementary strengths of both businesses to deliver a truly global presence, deep industry knowledge and strong delivery capability to meet client challenges, no matter they are based. We have over 30 years’ experience in servicing the specific technology needs of the Trust, Private Client, Corporate Services and Fund Administration sectors. We engage closely with stakeholders across the industry on regulatory, operational and other matters via our events programme, customer advisory groups and our active memberships of key industry bodies throughout the world.

We are looking for a detail-oriented and proactive Contract Administrator to join our growing Legal & Operations team. In this role, you will be responsible for managing the full lifecycle of commercial contracts from initial drafting and review through execution, storage, and renewal tracking. You will work closely with Sales, Finance, Procurement, and Legal to ensure contracts are processed efficiently, accurately, and in compliance with company policies and applicable regulations.

Job Responsibilities

Contract Lifecycle Management

  • Manage end-to-end contract processes including drafting, redlining, negotiation support, execution, and archiving.
  • Maintain and administer the company's contract management system (CMS), ensuring all contracts are accurately logged, versioned, and accessible.
  • Track contract milestones including effective dates, renewal windows, termination rights, and obligations.
  • Generate contract status reports and alerts for key stakeholders on upcoming renewals or expirations.

Drafting & Review

  • Draft, review, and revise standard commercial agreements including SaaS subscription agreements, NDAs, MSAs, SOWs, vendor agreements, and DPAs.
  • Apply pre-approved contract templates and playbooks to ensure consistency and reduce legal review cycles.
  • Identify non-standard terms and escalate to in-house counsel or management for approval.
  • Coordinate with external parties to negotiate and finalize contract terms within established guidelines.

Cross-Functional Collaboration

  • Partner with Sales to support deal closures by providing timely contract turnaround and clear status updates.
  • Work with Finance and Procurement to ensure commercial terms align with budgeting, invoicing, and vendor management requirements.
  • Liaise with IT, Security, and Compliance teams to ensure vendor agreements meet data privacy and security standards.
  • Support the Legal team with due diligence processes for M&A, audits, or regulatory requests.

Compliance & Risk

  • Ensure all executed contracts comply with company policies, regulatory requirements, and applicable laws (GDPR, CCPA, etc.).
  • Maintain an up-to-date obligations register and proactively flag compliance risks or contractual breaches.
  • Assist in developing and improving contract policies, procedures, and training materials for internal teams.

Administration & Reporting

  • Coordinate the contract signature process including DocuSign or equivalent e-signature workflows.
  • Prepare contract summaries, abstracts, and briefings for leadership and business stakeholders.
  • Support audits by retrieving, organizing, and presenting contract records as required.
  • Continuously improve contract administration processes for greater efficiency and scalability.

Job Requirements

  • Bachelor's degree in Law, Business Administration, Finance, or a related field.
  • 3–5 years of experience in contract administration, legal operations, or a paralegal role, preferably in a SaaS or technology company.
  • Strong understanding of commercial contract structures, standard legal clauses, and SaaS-specific terms.
  • Proficiency with contract lifecycle management (CLM) tools such as Ironclad, Icertis, ContractPodAi, or similar.
  • Experience with e-signature platforms (DocuSign, Adobe Sign) and CRM systems (Salesforce, HubSpot).
  • Exceptional organizational skills with the ability to manage multiple contracts and deadlines simultaneously.
  • Strong written and verbal communication skills with a high level of attention to detail. Note: FTC for 7 months only

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
