The posting
We're Hiring: Receptionist
(English & Mandarin Speaking)
Quintessential Education | Full-Time or Part-Time | Orchard Road, Singapore
About QE
Quintessential Education is Singapore's leading provider of pre-tertiary academic programmes (IGCSE & IB) and university admissions advisory for top-tier global universities: Ivy League, Oxbridge, and NUS/NTU/SMU. Since 2012 we have worked with more than 700 students, and most of our new families come to us through referrals. We deliver a fully integrated journey for families: academic mastery, guardianship, and university placement under one roof.
We aim to bring out the best in our students, ignite opportunities and nurture them towards success.
We are looking for committed and talented additions to our team. As an ideal candidate, you should help build an environment of trust, diversity, and inclusion within the QE team, work with the team to meet deadlines, and look for ways to keep improving how we work.
In this position you will work alongside the founders, Ivy League and Oxbridge graduates, and other high-performing teammates.
The Role
We're looking for a Receptionist to be the first face and voice of QE. You'll greet parents and students when they walk in, pick up calls and messages, and keep the front desk and the centre running smoothly through the day. Most families meet us for the first time at the front desk, so how that first hello goes matters a great deal to us.
You'll work closely with our tutors and the founders: passing on new enquiries quickly, booking trial lessons and consultations, and handling the everyday admin that keeps lessons on schedule. We are open to full-time or part-time candidates, so tell us the arrangement that works for you.
If you're friendly and composed, comfortable in both English and Mandarin*, and take pride in a tidy, well-run front desk, we'd love to meet you.
*A major group of our families are from China and can only converse in Mandarin.
Key Responsibilities
1. Front Desk & Visitors
- Welcome parents, students, tutors and visitors, and make sure they're looked after while they wait.
- Answer the main phone line, WhatsApp, WeChat and the general inbox, and reply to simple questions the same day.
- Handle new enquiries accurately
- Receive deliveries, couriers and mail.
2. Scheduling & Classrooms
- Book trial lessons, consultations and parent meetings into the shared calendar.
- Manage classroom and meeting room bookings so lessons don't clash.
- Send lesson reminders, and let families and tutors know about schedule changes and replacement lessons.
- Record student attendance and flag late arrivals or no-shows to the team.
3. Administrative Support
- Help prepare invoices and payment reminders, and record payments received.
- Keep student and tutor records in Notion or Airtable up to date.
- File service agreements, forms and documents, both paper and digital.
- Keep a short weekly log of walk-ins, calls and enquiries for the team.
4. Office & Events
- Keep the reception, classrooms and pantry neat, and reorder stationery and supplies before they run out.
- Liaise with building management, cleaners and vendors when something needs fixing.
- Help set up parent seminars, open days and events, including Mandarin-language sessions, and register guests on the day.
- Keep brochures and printed materials stocked and up to date at the front desk.
We're Looking For Someone Who:
- Has a Diploma, A-Level or equivalent. Front desk, customer service or admin experience is a plus, but we're happy to train the right person.
- Speaks and writes well in English and Chinese. This is required as some of our customers can only communicate in Chinese..
- Is warm, polite and patient, including with busy or anxious parents.
- Is organised, punctual and careful with details, and follows through without being reminded.
- Can handle a phone call, a walk-in and a message at the same time and stay calm.
- Is comfortable with Microsoft Office (Word, Excel, Outlook) and Google Calendar, and willing to learn Notion or Airtable.
- Is open to using AI tools (ChatGPT, Claude, Gemini) to get routine work done faster.
Bonus If You:
- Have worked at the front desk of a tuition centre, school, clinic or hotel.
- Have some idea of IGCSE, IB or university application timelines.
- Use WeChat or Xiaohongshu.
