The Program Management Administrator III is dually responsible for managing the overall administration and coordination of RIT's K-12 University Center (RIT K-12) and coordinating consortium-level efforts for the Army STEM Education Consortium (ASEC), a Department of War (DoW) grant-funded initiative administered through RIT K-12.
RIT K-12 administers a portfolio of initiatives that support pre-college to career pathways with local, regional, and national reach. The Program Management Administrator will work under the strategic direction of the Executive Director to develop RIT K-12's identity as a university-wide research center. The Program Management Administrator will lead the design and implementation of center infrastructure, an advisory board, protocols for new program development, the process of faculty affiliation, and annual impact review. They will assist with grant-writing and reporting.
Half of the Program Management Administrator's effort will be dedicated to coordination of ASEC, for which RIT serves as the Lead Organization (LO). ASEC is a group of academic and non-profit organizations working together on behalf of the U.S. Army to administer a comprehensive portfolio of programming (called Army STEM) to attract, develop, and mentor the nation’s next-generation STEM workforce. Army STEM offers enrichment experiences, competitions, internships, fellowships, and professional development programs for students of all levels and their teachers. The Program Management Administrator will work under the guidance of the PI to coordinate consortium-level administrative efforts for ASEC. They will work with consortium members to prepare and submit consortium-wide comprehensive reports and presentations, lead cross-consortium teams, and will serve as the LO designee as needed.
This is a senior-level position that requires independent work, a range of skills in grant and program management, significant experience in report and proposal writing. Some travel required. Open to onsite or hybrid work arrangements. Customer service, integrity, problem-solving skills, and ability to connect with a range of stakeholders required. Preferred qualifications include significant experience in STEM education and career development. Advanced degree preferred.
Essential Duties & Responsibilities
- Manages the overall administration and coordination of non-academic programs, ensuring alignment with university goals and objectives
- Develops and implements program strategies to optimize performance and ensure effective delivery of program goals, timelines, and resource allocation
- Oversees the planning and execution of program events, coordinating logistics, communications, and resources to ensure successful outcomes
- Collaborates with internal stakeholders, including faculty, staff, and students, to ensure programs are executed smoothly and meet the needs of the university community
- Evaluates program effectiveness by conducting assessments, gathering feedback, and identifying opportunities to enhance program impact and efficiency
- Monitors program budgets, ensuring financial resources are effectively managed, expenses are tracked, and budget goals are met
- Provides guidance and support to program teams, offering leadership on program best practices, troubleshooting challenges, and mentoring team members
- Other duties as assigned
Knowledge, Skills, & Abilities
- Knowledge of program management principles and best practices, including strategic planning, budgeting, and resource allocation
- Knowledge of event coordination and logistics management, ensuring smooth planning, execution, and evaluation of program-related activities
- Skill in budget management, including forecasting, tracking expenses, and ensuring programs stay within allocated financial resources
- Skill in problem-solving and conflict resolution, identifying challenges and implementing solutions to keep programs on track and meet objectives
- Ability to adapt to changing priorities and circumstances, remaining flexible and proactive in response to evolving university needs and challenges
- Ability to assess program performance, using data and feedback to evaluate success and drive continuous improvement
Minimum Education & Experience
- Bachelor's degree in related field
- 5 years of relevant experience
- Equivalent combination of experience and education may be considered

Specialized Contributor Level 3 - A senior-level role requiring broad understanding of the profession or field of work. Independently leads diverse and often complex assignments, projects, or programs. May act as a mentor and guide less experienced staff.
