What you'll do:
As a Contract and Data Migration Specialist based in Singapore, you will be entrusted with managing the end-to-end process of migrating commercial agreements into the iCertis CLM platform. Your day-to-day responsibilities will involve coordinating document collection from various business units, reviewing contracts for key metadata extraction, capturing critical information such as contracting parties and financial terms, identifying gaps or inconsistencies in documentation, organising files according to project standards, and supporting data validation efforts.
Success in this role hinges on your ability to maintain meticulous attention to detail while balancing independent work with collaborative problem-solving alongside procurement and legal teams. You will be instrumental in ensuring that every contract is accurately prepared for migration by following up with stakeholders for missing information and escalating complex queries when necessary. Throughout the project lifecycle, you will contribute to progress tracking and reporting efforts that underpin the overall success of this important initiative.
- Coordinate the collection of active contracts and relevant supporting documents from procurement teams, business functions, and local repositories to ensure comprehensive coverage.
- Review individual commercial agreements meticulously and extract required contract metadata into prescribed migration templates for iCertis CLM.
- Capture detailed information including contracting parties, legal entity, supplier details, contract owner identification, effective and expiry dates, contract value and currency, as well as other essential attributes.
- Identify missing, incomplete or inconsistent information within contracts and proactively follow up with relevant stakeholders for clarification or additional documentation.
- Check contract files against migration requirements while maintaining clear tracking of contracts collected, completed, pending clarification or ready for migration.
- Support basic data cleansing activities by validating and reconciling information to improve completeness and accuracy before submission to the system.
- Organise and name contract files along with supporting documents according to project requirements for easy retrieval and compliance.
- Work closely with procurement professionals, legal teams and the iCertis project team to resolve any data issues that arise during the migration process.
- Escalate contractual questions requiring procurement or legal judgement rather than making interpretations independently to ensure accuracy.
- Assist in progress reporting and tracking throughout the migration exercise to keep all stakeholders informed.
What you bring:
The ideal candidate for the Contract and Data Migration Specialist role brings a solid foundation in contract administration or procurement operations gained over three to five years. Your familiarity with commercial agreements enables you to identify key contractual elements quickly while maintaining exceptional attention to detail. You possess advanced Excel capabilities that allow you to manage extensive datasets efficiently. Your experience working independently across different legal entities showcases your dependability as well as your ability to adapt within communal environments.
Interpersonal communication skills are vital as you coordinate with stakeholders for missing information; your understanding of contract terminology further supports accurate metadata extraction. Previous exposure to CLM platforms like Icertis or SAP Ariba enhances your suitability for this role but is not strictly required. Experience in master-data cleansing or system implementations adds depth to your profile. Above all else, your commitment to accuracy ensures successful outcomes throughout each stage of the migration process.
- 3–5 years’ proven experience in contract administration, procurement operations, sourcing support, legal operations or CLM/data migration roles is essential for this position.
- Comfortable reading commercial contracts and identifying key contractual information such as effective dates, expiry terms, amendments and contracting entities.
- Advanced Excel skills combined with strong data-management capability are required to handle large volumes of documents efficiently.
- Ability to work independently across multiple legal entities, suppliers and contract types while maintaining very high attention to detail and data accuracy.
- Experience coordinating with business stakeholders to obtain missing information or documents demonstrates your interpersonal communication strengths.
- Familiarity with contract terminology including evergreen/perpetual terms, amendments, contracting entity and contract owner is highly desirable.
- Previous experience with Icertis CLM or similar platforms such as SAP Ariba, Coupa, DocuSign, Ironclad or Agiloft is preferred but not mandatory.
- Background in contract migration processes including master-data cleansing or system implementation projects would be advantageous.
- Comfortable supporting progress reporting activities throughout the migration exercise.
