About Our Family

Based in Ventura, we are a warm, outdoorsy, and active household, complete with a sweet cat and a wonderful seven-year-old son who makes our home feel lively and bright. Both parents work full-time from home, balancing demanding schedules, frequent travel, and a household with a lot of moving parts. Our son has special needs and is supported by reliable caregivers, including an incredible live-in au pair who seamlessly manages his daily routines.

Life here moves fast—between work calls, our son’s doctor’s appointments, constant deliveries, a household to-do list that feels endless, and the everyday rhythm of managing a bustling household, there’s a lot on our plates that’s contributing to our mental load.

We care deeply about our home feeling calm, organized, and functional—not just tidy on the surface, but genuinely running like a well-oiled machine. We are seeking a long-term house manager who is thoughtful, highly organized, and proactive in creating and maintaining meaningful systems in our home that lighten the mental load of projects and tasks that feel overwhelming, so we can prioritize our well-being and focus more on having fun together as a family doing what we love—spending time together outdoors, swimming, cooking, traveling, enjoying weekend beach walks, and making meaningful memories together.

Who You Are / What We're Looking For

You are a highly organized, self-directed professional who brings project management instincts to your role as house manager. You can easily walk into a space, read the room, assess the family’s more fluid schedule, and use good judgment and excellent time management to know what needs to happen and what tasks to avoid. You’re proactive, think a few steps ahead, create meaningful systems that hold up over time, and take quiet pride in a calm, refreshed, and organized household that runs on consistent systems.

Your energy is efficient, incredibly professional, and grounded — you would describe yourself as capable, highly detail-oriented, and communicative, with a strong comfort in checking in on task progress and timing. You have a "let's get it done" attitude, are radically transparent when something needs to shift, offer helpful suggestions to streamline household operations, and are quick to notice what needs attention — the drink fridge could be restocked, a pantry item running low, a delivery subscription cadence needing adjustments, and mail and paperwork that could be organized — and you handle it seamlessly, without having to be asked.

You are warm and easy to be around, comfortable working in a family home alongside our son’s caregivers, and able to get into a productive flow independently. You also have strong admin skills and are tech-savvy, comfortable navigating digital tools, apps, and document management systems. You genuinely enjoy administrative tasks, like tracking, scanning, and organizing household-related paperwork, and you bring the same level of care and precision to a fridge restock as you do to a complex scheduling task. You are discreet, maintain professional boundaries, and can work within a household with many moving parts in a calm, grounded, and nonintrusive way.

Key Responsibilities

Household Organization & Maintenance

  • Create, maintain, and reset household organization systems throughout the home with close attention to detail (many organizational systems are already in place)
  • Daily resets and prep home ahead of Monday cleaners
  • Light tidying: dishes, surfaces, vacuuming high-traffic areas
  • Seasonal swaps for clothing, bedding, and decor
  • Indoor plant care
  • Proactively change batteries, light bulbs, and smoke detectors
  • Packing and unpacking support around frequent travel
  • Event and guest preparation, including holiday hosting

Administrative & Personal Assistant Support

  • Support updating the household calendar, including the family schedule
  • Coordinate various appointments for the household members
  • Provide administrative support related to the son's medical care: scanning and organizing documents, following up with providers and insurance companies, processing medical mail and voicemails in a timely manner
  • Light travel logistics support, as needed

Inventory & Errands

  • Restock pantry, fridge, and household supplies consistently
  • Manage running household supply lists and oversee Amazon, Costco, and Target subscriptions (adding, removing, and adjusting as needed)
  • Mail and package handling; break down boxes
  • Returns, dry cleaning drop-off and pickup, and gift shopping
  • Occasional kid-related errands as needed

Deep Cleaning & Special Projects

  • Ongoing garage and storage unit organization project (storage unit is approximately 10-15 minutes from home); sorting items for donation, sale, or disposal
  • Coordinate and execute donation drop-offs
  • Manage resale of items
  • Refresh and organize specific areas/items: entryway, garage, fridge, medicine cabinet, linen closet, mobility equipment, and child’s clothing

Meal Support

  • Batch prep healthy, protein-forward meals 1-2 times per week for grab-and-go use throughout the week (grain bowls, salad prep, roasted vegetables, quinoa, chicken, fish)
  • Prepare easy breakfasts: smoothies (batch for multiple days), overnight oats, egg bites, protein muffins
  • Grocery shopping to supplement what the au pair already handles
  • Kitchen cleanup and maintenance
  • Follow family's dietary preferences (healthy, whole foods, protein-forward); cooking skills are a bonus but not required

Vendor & Property Oversight

  • Oversee and coordinate with cleaners, contractors, landscapers, and pool vendor as needed
  • Research and coordinate repair quotes and vendor scheduling as needed
  • Manage and reset outdoor spaces: patio furniture, cushions, and seasonal refreshes

Laundry & Linens

  • Keep the laundry area tidy and well-organized
  • Wash and cycle pool towels and household dishtowels as needed

Vehicle Upkeep

  • Schedule routine maintenance and car washes for family vehicles
  • Fuel and organize family vehicles
  • Track registration and insurance documentation

Family Support

  • Serve as a backup adult in the home when both parents are traveling simultaneously (the au pair is primary; this is occasional gap coverage only)
  • Occasional pickup or drop-off support for the family's son if needed (gap coverage; family vehicle with car seat available)

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
