Job Description

SAIC is seeking a dynamic and highly skilled Executive Assistant to provide executive-level management and administrative support to the Executive Vice President (EVP) of our Civilian Business Group. This is a high-impact role that operates at the center of our senior leadership team, requiring a seasoned professional who thrives in a fast-paced, mission-driven environment.

The Executive Assistant works with a high degree of independence, regularly engaging with Executive Leadership and SAIC staff at all levels. Absolute confidentiality, meticulous attention to detail, and an unwavering commitment to professionalism are the cornerstones of success in this position.

What You'll Do

Executive Calendar & Schedule Management

  • Own and optimize the EVP's calendar, email, and internal/external commitments, ensuring efficiency, prioritization, and on-time delivery of all obligations
  • Proactively ensure the EVP is fully prepared for every engagement — coordinating logistics, pre-reads, briefings, and pre-meetings as needed
  • Track tasks, schedules, and due dates for all deliverables, keeping the EVP ahead of critical milestones

Communication & Correspondence

  • Review and manage the EVP's email inbox, identifying urgent issues, action items, and key deadlines
  • Communicate directly and on behalf of the EVP with internal and external stakeholders — researching, prioritizing, and following up on incoming issues to determine the appropriate course of action, referral, or response
  • Prepare confidential documents, executive-level agendas, and polished presentations for both internal and external audiences

Strategic Problem-Solving & Decision Support

  • Proactively take charge of situations, exercising independent judgment, initiative, and tact to make sound administrative decisions, resolve issues, and escalate appropriately — always with careful regard for confidentiality and company policy
  • Continuously identify opportunities to increase organizational efficiency, streamline processes, and solve problems while meeting deadlines
  • Make discriminating decisions regarding the distribution and flow of information and work

Stakeholder & Relationship Management

  • Partner with key administrative staff across the enterprise, serving as a bridge for smooth, effective communication at all levels
  • Demonstrate professional maturity and leadership to build relationships critical to organizational success
  • Engender credibility and trust with staff and executive leadership across SAIC

Events, Travel & Office Administration

  • Plan and execute networking, team-building, and special events for internal staff and external audiences
  • Arrange complex, detailed domestic and international travel plans, itineraries, and agendas; create and track expense reports in a timely manner
  • Manage all aspects of office administration with independent thinking and sound judgment, establishing and maintaining efficient office procedures
  • Maintain organizational charts, files, and records; perform additional administrative duties as assigned

Qualifications

What You'll Bring

Experience & Education

  • Bachelor's degree preferred with 10+ years of experience supporting senior executives, ideally within a large, complex organization
  • Additional years of directly relevant experience will be considered in lieu of a degree
  • Demonstrated experience interfacing with Senior Executives in an administrative capacity

Technical Skills

  • Advanced proficiency in Microsoft Office Suite — Outlook, PowerPoint, Excel, SharePoint, and Word
  • Exceptional calendar management skills, including coordination of complex executive-level meetings
  • Strong ability to facilitate virtual meetings via Zoom, including managing meeting logistics, note-taking, agenda collection, and task distribution

Core Competencies

  • Exceptional organizational skills and meticulous attention to detail
  • Sound judgment with the ability to navigate disagreements and conflict to achieve resolution
  • Excellent analytical and problem-solving skills — resourceful, diplomatic, and efficient in anticipating and resolving challenges
  • Strong written and verbal communication skills with the ability to engage internal and external stakeholders with professionalism, discretion, and confidence
  • Enthusiastic, positive, and personable working style with the ability to collaborate effectively and contribute as a productive team member

Professional Attributes

  • Flexible, adaptable, and willing to take on additional assignments and work outside of core hours when needed
  • Calm under pressure with the ability to manage shifting priorities, multiple complex tasks, and frequent re-prioritization
  • Proactive and responsive communicator — prompt, professional, and thorough in all interactions
  • Exercises discretion in all work activities and maintains strict confidentiality at all times
  • Self-starter who independently seeks out opportunities for process improvement and operational excellence

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
