Position Overview

The Talent Acquisition Coordinator plays a critical role in supporting high-volume clinical and non-clinical hiring in a highly regulated healthcare environment. Reporting within the Human Resources function, this role is responsible for the day-to-day coordination and execution of recruitment, onboarding, internal job movements, and employee lifecycle documentation.

This position serves as a key operational partner to recruiters, HR Operations, Payroll, IT, department leaders, and union representatives to ensure hiring and internal movement processes are accurate, timely, compliant, and consistently executed. The ideal candidate is highly organized, detail-oriented, service-focused, and thrives in a fast-paced healthcare setting.

What You’ll Do

Recruitment Coordination & Talent Acquisition

  • Coordinate high-volume recruitment for clinical and non-clinical positions, including nursing, caregiving, and support services.
  • Create, post, and maintain job requisitions in Greenhouse and approved job boards, ensuring compliance with established approval processes.
  • Coordinate interviews, manage scheduling logistics, and facilitate communication among candidates, recruiters, hiring managers, and department leaders.
  • Serve as a primary point of contact for candidates, providing timely communication and a positive candidate experience throughout the recruitment process.
  • Monitor candidate activity and ensure timely progression through each stage of the hiring lifecycle.

Onboarding & New Hire Orientation

  • Coordinate the onboarding process from offer acceptance through the employee’s first day, ensuring all required steps are completed accurately and on schedule.
  • Coordinate biweekly New Hire Orientation sessions, including scheduling, preparation of materials, attendance tracking, and follow-up activities.
  • Collaborate with HR Operations, IT, Payroll, and hiring departments to coordinate system access, payroll setup, required documentation, and other onboarding activities.
  • Monitor completion of pre-employment and onboarding requirements to support a smooth and compliant transition into employment.

Internal Job Bidding, Transfers & Personnel Administration

  • Administer internal union job bidding processes, from posting through selection and offer acceptance, in accordance with applicable collective bargaining agreements.
  • Coordinate internal transfers, promotions, department changes, and other employee status or position changes.
  • Prepare, track, and follow up on Personnel Action Forms (PAFs), ensuring appropriate approvals and timely processing.
  • Partner with Talent Acquisition, HR Operations, Payroll, and department leadership to ensure employee movements are accurately reflected in HR systems and personnel records.
  • Maintain documentation supporting internal postings, selections, transfers, and other personnel actions.

Compliance, Credentialing & Documentation

  • Support compliance with applicable federal, state, and local employment requirements, organizational policies, and collective bargaining agreements.
  • Coordinate and track required background checks, license and certification verifications, health screenings, and other pre-employment clearances.
  • Maintain complete, accurate, and audit-ready recruitment, credentialing, and onboarding records in accordance with applicable healthcare regulatory and documentation requirements, including CMS, CDPH, and Title 22 standards.
  • Monitor outstanding requirements, communicate deficiencies, and coordinate timely resolution with the appropriate HR team members and department leaders.
  • Protect confidential candidate and employee information and follow established records-management practices.

HR Systems, Reporting & Data Integrity

  • Maintain accurate and timely candidate and employee information in Greenhouse, HRIS platforms, and other designated systems.
  • Review recruitment and onboarding data for completeness, accuracy, and consistency across systems.
  • Prepare standard recruitment, onboarding, and personnel activity reports to support operational tracking, compliance, and workforce planning.
  • Identify discrepancies, investigate data issues, and collaborate with HR Operations and other stakeholders to implement corrections.
  • Support system updates, workflow administration, and process improvements that enhance data quality and operational efficiency.

Customer Service & Process Improvement

  • Provide responsive, professional, and service-oriented support to candidates, employees, hiring managers, and internal stakeholders.
  • Follow established recruitment, onboarding, and personnel administration procedures while identifying opportunities to improve consistency, efficiency, and the overall employee experience.
  • Collaborate across HR functions to support workforce needs, operational priorities, and organizational objectives.
  • Perform other related duties as assigned.

What We’re Looking For

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or a related field — or equivalent work experience
  • Minimum of two (2) years of experience in recruitment coordination, HR administration, or a related support role
  • Experience supporting high-volume hiring in a healthcare, skilled nursing, or long-term care environment preferred
  • Working knowledge of recruitment processes, onboarding requirements, and employment documentation
  • Proficiency with Greenhouse (ATS) and HRIS platforms
  • Strong organizational skills with exceptional attention to detail and accuracy
  • Ability to manage multiple priorities in a fast-paced environment
  • Demonstrated discretion, professionalism, and commitment to confidentiality

Why Join SFCJL

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
