Great Hill Solutions is currently seeking an Administrative Assistant in support of a Defense Health client in the DC Metropolitan Area. The objective is to provide health care support for the Directorate of Surgery Services (DSS) or to the Directorate of Resource Management (DRM). The contractor will work in conjunction with other health care providers, professionals, and noncontract personnel.
Responsibilities include, but are not limited to:
- Be a point of contact in support of a unit, bureau, section or division, greeting and assisting visitors, as needed. May also be responsible for relieving supervisors or administrative employees of routine administrative work.
- Utilize word processing software to produce documents and maintain records to provide accurate documentation of work performed or information that can be easily retrieved.
- Create and maintain complex filing systems or databases with a variety of subject matter to provide easy access to records and information and communicating information to the public to relate departmental policies and procedures using reference materials or personal knowledge.
- Compose correspondence on routine matters; proofread and edit documents; requisition office supplies; coordinate calendars, establish meeting, facility and travel arrangements; compile information for special projects and collect and assemble data and background materials for a variety of reports.
- Utilize databases and spreadsheet programs to produce summary reports, and print tables of numerical information; transcribe dictation from tape and produce a typed document; take, prepare and distribute minutes, agendas, packets, and other support materials; schedule meetings and facilities; and may provide functional or full supervision for clerical staff performing routine tasks.
Basic Qualifications and Skills:
- Active Public Trust Clearance
- Familiar with Microsoft Word, Excel, Power Point and Outlook.
- Have organization and time management skills.
- Exceptional interpersonal and communication skills, as well as the ability to display great tact and diplomacy both in person and on the telephone.
- Qualified typing ability (at least 40 wpm).
- Knowledge of military ranks and procedures.
- Basic understanding of HIPAA regulations.
- Ability to produce reports, business correspondence, and briefs.
- Must possess ability to pass security clearance or have a current National Agency Check with Local Agency Check and Credit Check (NACLC).
- The work is primarily sedentary. However, there may be some physical demands. Requirements include prolonged walking, standing, sitting or bending, and preparation of conference rooms for meetings.
- Ability to work independently as well as collaboratively.
- The Contractor is required to be on-site.
- Must be a U.S. Citizen.
Required Experience:
- High School diploma or General Educational Development (GED) equivalency.
- Minimum of 2 years of progressively responsible administrative or office support experience.
- Experience providing administrative support in a healthcare, military, federal government, or similarly structured professional environment; DHA/DoD experience preferred.
- Experience using Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Experience managing calendars, meetings, appointments, conference calls, and organizational schedules.
- Experience preparing, formatting, reviewing, routing, and tracking correspondence, memorandums, reports, presentations, meeting minutes, and other administrative documents.
- Experience maintaining electronic records, files, spreadsheets, databases, administrative trackers, and suspense/action-item logs.
- Experience coordinating and tracking administrative actions and suspense requirements to ensure timely completion.
- Experience providing professional customer service and front-office support to senior leadership, staff, customers, and external stakeholders.
- Experience handling sensitive and confidential information, including PII and other controlled information.
- Experience coordinating meeting agendas, read-ahead materials, meeting minutes, and follow-up action items.
- Experience supporting personnel onboarding/offboarding, training documentation, access requests, organizational rosters, and other workforce administrative requirements.
- Demonstrated ability to prioritize multiple tasks and meet deadlines in a fast-paced environment with minimal supervision.
- Demonstrated ability to communicate effectively, both verbally and in writing, with military, civilian, contractor, and healthcare personnel.
- Experience working with DoD/DHA correspondence, directives, forms, and records management processes is highly desired.
