The posting

Support the Project Manager in coordinating daily on-site operations and ensuring project activities are delivered smoothly, safely and to the required quality standards. You will coordinate documentation, logistics, materials and communication between clients, subcontractors, frontline staff and the company's head office.

Key responsibilities

- Assist the Project Manager with daily on-site operational matters and execution.

- Prepare and coordinate Permit to Work (PTW) documentation in accordance with safety standards and project timelines.

- Review and verify AutoCAD architectural and M&E drawings against site conditions, coordinating drawing revisions and As-Built submissions for consultant approval.

- Assist in coordinating Mechanical & Electrical (M&E) site activities, system tie-ins, and Testing & Commissioning (T&C) procedures with appointed consultants.

- Prepare daily work reports, organise photos and videos, and compile work progress summaries for submission to clients.

- Support quality assurance and safety compliance across site activities.

- Coordinate logistics, materials and inventory to support efficient project delivery.

- Serve as the primary point of contact between clients, subcontractors and the company's head office.

- Manage the procurement of company products and monitor purchasing requirements.

- Oversee company inventory and maintain accurate records of materials and supplies.

- Provide training, guidance and operational support to frontline staff.

- Manage client follow-ups and collect feedback to support service improvement.

- Identify operational issues promptly and coordinate appropriate follow-up with relevant stakeholders.

- Perform any other ad-hoc project, operational, or administrative duties as assigned by management.

What we're looking for

- Experience in site coordination, project support, operations or a related role.

- Proficiency in AutoCAD for reviewing, interpreting, and updating site shop drawings and construction details.

- Strong organisational and documentation skills, with the ability to prepare clear reports and maintain accurate records.

- Good communication and stakeholder management skills when working with clients, subcontractors and internal teams.

- Ability to coordinate multiple operational, logistics and inventory activities in a fast-paced environment.

- Practical understanding of workplace quality and safety requirements.

- Proactive, detail-oriented and able to work independently on-site while supporting the wider project team.
