General Description: The Client Services Associate (CSA) is responsible for supporting Client Services Managers (CSMs) by coordinating client operations, compliance activities, submission management, and administrative processes throughout the staffing lifecycle. This role serves as a key liaison between clients, recruiters, credentialing teams, and internal operations departments to ensure timely submissions, compliance adherence, accurate data management, and exceptional client service. The Client Services Associate plays a critical role in driving operational efficiency, maintaining compliance requirements, supporting client communications, and contributing to successful talent placements and assignment management Below is a list of essential functions for this role across the Company. These functions may or may not be performed and are not defining limits of this position. Essential Job Functions:
Efficiently and independently navigate multiple Vendor Management Systems (VMS) to manage candidate workflow including; order maintenance, submission entry, offer management, compliance and time keeping resolution Utilize TRM reports and dashboards to assist in tracking and maintaining submissions, offers, placements, pending starts, expiring compliance and other key metrics as assigned Provide customer service to internal and external partners Provide administrative support, resources and out of office coverage to Client Owners and other team members as required Read and understand basic client contractual language to assist in the client contracting process Must accurately upload and process credit and facility contracting documents in TRM for review and execution by appropriate parties; Update/maintain client tab(s) in TRM as required Audit, match and send documents for clients ensuring that all deadlines are met; Communicate with internal and external stakeholders to ensure timely starts as required Assist in increasing SHC revenue and Talent on Assignment (TOA) using a thorough understanding of client owner processes Provide ongoing training, support and resources to new and existing employees Create, modify, and implement new processes to help increase efficiency and productivity. Communicate changes effectively Help to create an environment of high morale, motivation and teamwork Assist Client Owners as required with review of compliance requirements and updates to TRM. Address emerging compliance issues with management, develop plans to resolve Provide solutions for high demand facilities as required Maintain operational excellence through executing the Supplemental Way Collaborate as needed with interdepartmental managers to support Client Owners and Management Teams as needed Delegate responsibilities to other team members as assigned/required (Senior only) Other duties as assigned
Minimum Skills, Knowledge & Talents:
Associates Degree and/or 1-2 years equivalent experience preferred; 1-2 years equivalent experience required for Senior level Knowledge of proper grammar, spelling and rules of composition
Must have a working knowledge of computer and software systems including Microsoft Office productsand the Internet Must be detail-oriented and highly organized Ability to work independently and with other team members Ability to organize and complete work in a timely manner Ability to multi-task Ability to communicate effectively with all levels of the organization Must be able to work for prolonged periods of sitting, typing and use of the phone and computer Must successfully complete onboarding training/tutorials and attend future webcasts/trainings asrequired
