Sony Music Masterworks is seeking a Coordinator to provide essential administrative support to business and legal affairs and A&R administration for both recorded music and live. The position is based in Sony Music’s NYC headquarters, but the role is global in scope, requiring frequent contact with our colleagues in Los Angeles, the UK, Europe, Australia and Japan. This position offers a tremendous opportunity to learn, contribute and grow within a team-oriented environment.

The Coordinator, BLA & A&R Admin reports to the Senior Director of Business & Legal Affairs and the A&R Administration Department of Masterworks. This position will liaise with the various departments within the worldwide Sony Music Masterworks Division and Accounts Payable, Accounts Receivable, Inter-Company Accounting, Release Planning, Royalties, Label Artists, their management, and recording studios.

We’re looking for candidates with a passion for the entertainment business as a whole, but with particular interest in music, live events and technology. Meticulous organizational skills and the ability to pay close attention to detail are a must. Candidates must also have the proven ability to manage a variety of tasks in a fast-paced environment, excellent oral and written communication skills, and the ability to work both autonomously and collaboratively across departments in a proactive and professional manner.

What you'll do:

• Manage the core administrative needs of the Business and Legal Affairs department. This will include:
• Circulating contracts internally and externally for execution.
• Creating and maintaining workflows within Adobe Sign for purposes of securing deal memo approvals.
• Mailing hard copies of notices when required.
• Ensuring fully executed contracts and any other important documents or correspondence are submitted to the records department and uploaded to the CARMA database.
• Generating updates, reports, spreadsheets and presentations for key internal stakeholders and external partners as directed.
• Communicate with A&R, Business & Legal Affairs, Finance, Marketing, Royalties, JV Accounting, to properly administer artist contracts, licenses, and various other legal documents, including:
• Administering A&R-related budgets and reviewing artist agreements to assess and enforce contractual obligations with respect to recording.
• Assisting with creation of royalty accounts.
• Liaising with release planning to ensure proper sub-project code setups.
• Helping with union obligations for any relevant release.
• Booking studio and travel for Artist Services.
• Assist with ad hoc reports needed internally or externally.
• Communicate with artist attorneys and managers about contractual issues, vendors, proper payments, and tax information.
• Assist in day-to-day operations such as:
• Administration of recording projects.
• Tracking projects to ensure proper payment and budgeting.
• Creation of recording and marketing budgets, including distinguishing between recoupable and non-recoupable costs for accurate statement rendering.
• Issuing purchase orders.
• Facilitating prompt invoice payment.
• Reconciling BTA "ghost" card.
• Setting up vendors in the Sony system, along with any relevant artist portal access.
• Work with live businesses.
• Create budgets and pay expenses.
• Assist with customer and vendor onboarding.
• Prepare billing requests and wire transfers.

Who you are:

• Bachelor’s degree or equivalent experience is required.
• 1+ years of prior entertainment industry experience (including internships and extracurricular activities) highly encouraged, particularly in the areas of business and legal affairs, marketing, communications or business administration.
• Highly organized, analytical, detail-oriented with exceptional follow-up skills, capable of managing multiple priorities in a fast-paced, multi-priority global environment.
• Excellent written and oral communication skills.
• Skilled in Microsoft Office (Word, Excel, Outlook, and especially PowerPoint) and Adobe Sign.
• Proficiency in Adobe Creative Cloud (Photoshop, Premiere, Illustrator, inDesign) or equivalent supremely helpful, including light video and photo editing.
• Active engagement in music, theater, film, television, videogames, anime and general pop culture a plus.
• Must be able to accept changes readily, both in job responsibilities as well as in the work environment
• Ability to multitask, solve problems and prioritize across multiple time zones.

• A team player, who is both ambitious and able to take initiative and see projects through independently

The actual base salary offered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.
