People Operations Coordinator I Position Overview The People Operations Coordinator I supports the day-to-day people operations function at their location on a part-time basis, ensuring accurate, timely, and compliant execution of processes across the team member lifecycle — including onboarding, employee records, scheduling and timekeeping accuracy, and audit-ready documentation. The People Operations Coordinator I operates through direct execution of established processes, escalating policy questions, discrepancies, and non-routine employee matters to site leadership rather than resolving them independently. This role does not hold independent resolution authority; all discrepancies and policy questions route to site leadership. Responsibilities Employee Experience, Engagement & Retention This role supports the on-site employee experience under the direction of site leadership, executing engagement activities rather than designing them independently.
Support the on-site employee experience from hire to exit, helping create a culture where team members feel welcomed and valued Help execute HQ-led initiatives and support local engagement activities — recognition programs, team events, experience improvements — under the direction of leadership Serve as the first point of contact for day-to-day questions on EAP, leave, and benefit programs, directing team members to the correct resource Reinforce 452 Hospitality principles within the team
Recruiting & Talent Attraction This role supports the recruiting cycle for hourly roles by executing established sourcing and coordination tasks.
Support the recruiting cycle for hourly roles — postings, pipeline management, screening, interview coordination — working with site leaders on staffing needs Build and maintain relationships with schools, workforce organizations, and community partners to sustain a candidate pipeline, including job fairs and hiring events Ensure job postings follow employment law and internal standards, and track recruiting metrics and hiring event outcomes
Onboarding & New Hire Coordination This role executes assigned onboarding tasks completion at the site, following SSA HQ and client guidelines for documentation and readiness.
Execute assigned onboarding coordination tasks and start-date readiness for every new team member as directed, in alignment with SSA HQ and client guidelines Complete new hire documentation accurately and on time, including state-specific required forms and training records Coordinate uniforms, name badges, and site access credentials ahead of each start date Does not hold audit or compliance-metric accountability for onboarding; flags incomplete tasks to assigned site leadership for proper escalation.
Training, Timekeeping & Compliance This role administers timekeeping and training tracking, including escalating unresolved issues and non-routine compliance questions to site leadership.
Serve as an on-site contact for timeclock functionality, performing initial troubleshooting and escalating hardware issues that require IT or facilities support (does not independently resolve routine hardware/access issues beyond initial troubleshooting). Complete timekeeping approvals and ensure employee time records are accurate and submitted within required payroll deadlines Help department managers track attendance trends, absences, tardiness, and missing punches, flagging discrepancies for manager follow-up per established processes Coordinate site-level training for new hires and frontline team members on policies, workplace expectations, and day-to-day practices Track completion of required training and maintain training records to company standard Support employee separations by completing required documentation for a compliant offboarding process Support site-level recordkeeping and SSAfety documentation standards, partnering with Payroll, HR, and HQ to prepare for audits
Team Leadership & Development This role has no direct reports, contributing to team culture through day-to-day example and communication rather than formal supervision.

Education & Experience
1–3 years of experience in HR support, onboarding coordination, recruiting administration, or a related administrative role Strong organizational skills, attention to detail, and ability to manage multiple tasks and deadlines simultaneously Strong communication and customer service skills, especially with new hires, managers, and internal partners Experience supporting onboarding or orientation programs for hourly, frontline, or seasonal employees preferred Familiarity with pre-employment documentation, new hire records, and onboarding compliance requirements such as I-9s preferred All educational backgrounds accepted; equivalent combination of education and administrative experience considered Bilingual skills, if relevant to workforce population, a plus
Position Requirements
Must be 18 years of age or older Part-time schedule; hours vary by site staffing needs Physical ability to stand and walk for extended periods and to move and handle boxes up to 35 lbs as necessary Ability to work varied hours, including some evenings, weekends, or holidays as business requires
Work Environment The People Operations Coordinator I works on-site in an active hospitality environment on a part-time basis, splitting time between administrative desk work and in-person coordination with new hires, managers, and team members across the site. At locations without a People Operations Manager, this role operates under the direct guidance of the General Manager and, where staffed, the People Operations Supervisor (or equivalent), supporting the on-site people operations function without primary-presence accountability.
