Responsibilities include but are not limited to:
Accounting and Finance Administration:
Manage incoming and outgoing correspondence, including letters, documents, and finance-related communications.
Serve as the point of contact for general accounting and finance inquiries within the office.
Liaise with the Head Office, Finance Department, and other relevant departments on accounting and administrative matters.
Assist in preparing, organizing, and maintaining accounting records, financial information, and supporting documentation.
Coordinate meetings, obtain quotations, and assist with general office administrative duties, including filing and record management.
Maintain accurate and organized financial records in accordance with company policies and procedures.
Income Audit and Revenue Reconciliation:
Verify and reconcile daily transactions across all revenue-generating departments, including Rooms, Food & Beverage, and Banquets.
Review Night Audit logbooks, daily revenue reports, Food & Beverage reports, supporting vouchers, and trial balances to ensure accuracy and completeness.
Review and reconcile guest ledgers, city ledgers, and credit card transactions against Accounts Receivable records.
Monitor the interface between Point-of-Sale (POS) systems and Property Management Systems (PMS) to ensure accurate and complete revenue reporting.
Review daily no-show and cancellation reports to ensure all applicable charges and revenue are properly recorded.
Examine daily paid-outs, rebates, adjustments, house-use rooms, and complimentary room reports to ensure transactions are supported by appropriate documentation and approvals.
Review Food & Beverage void and discount reports to verify accuracy, proper authorization, and supporting justifications.
Identify and investigate revenue discrepancies, reporting irregularities, and reconciliation differences, escalating unresolved issues to management when necessary.
Financial Controls and Compliance:
Conduct monthly surprise cash counts at Front Office and Food & Beverage outlets to ensure compliance with cash-handling procedures.
Monitor and verify foreign currency exchange rates to ensure they are updated regularly and accurately reflected in relevant systems.
Ensure all financial transactions comply with established accounting procedures, internal controls, and company policies.
Assist in maintaining accurate financial records and supporting documentation for internal reviews and audits.
Coordinate with relevant departments to resolve discrepancies and improve financial reporting accuracy.
General Responsibilities
Maintain confidentiality when handling financial records, guest information, and company-sensitive information.
Demonstrate proficiency in Microsoft Word, Excel, and PowerPoint for documentation, reporting, and administrative tasks.
Support daily accounting operations and assist with additional finance-related duties as required.
Perform any other duties or tasks as assigned by management.
Other Requirements:
Candidate must possess at least Professional Certificate/NITEC or equivalent qualification in any field.
Proficient in spoken and written English to communicate effectively with guests and colleagues.
Minimum 1-2 years of relevant working experience in the hospitality industry.
Required skills: Hotel Income Auditing Experience, Diligent, Trustworthy, Articulate with strong communication and interpersonal skills.
