The posting

Stand Together is a philanthropic community that helps America’s boldest changemakers tackle the root causes of our country’s biggest problems, from education to the economy, broken communities, and toxic division, among dozens of other pressing issues. We provide our partners with access to resources including funding, thought leadership, a network of peers, and a playbook for applying proven principles to transform lives and society.

As an Administrative Operations Coordinator supporting Army of Normal Folks on our Activations team, you will help keep a growing podcast and its related initiatives organized, coordinated, and moving forward. You’ll spend most of your time (about 70%) driving day-to-day execution on projects and contributing to podcast coordination—owning timelines, tracking tasks, coordinating stakeholders, and keeping everyone aligned. The rest of your time (about 30%) will be dedicated to essential administrative support, including scheduling, meeting logistics, and documentation that keep the team running smoothly.

This is an early-stage, fast-evolving team. The scope of this role will continue to grow and change as our Activations work matures, so you should be comfortable working in ambiguity and helping shape how we operate over time. This is an execution-focused position where you will proactively drive clarity, bring structure to moving pieces, and ensure follow-through. When this role is done well, our efforts stay organized, on time, and high-quality, allowing the team to focus on strategy and partner engagement.

The role will be based in-person in our Ballston, VA office.

How You Will Contribute

  • Own project planning and day-to-day execution across Army of Normal Folks products, creating clarity around priorities, timelines, responsibilities, dependencies, and deliverables.
  • Lead project communication and operating cadences across team members and partners, including team meetings, status reporting, action tracking, after-action reviews, and executive updates, while proactively surfacing risks, blockers, and competing priorities
  • Build and maintain effective operating systems and workflows using tools such as Notion, Airtable, and SharePoint, including recap notes, trackers, and slide decks, to improve visibility, coordination, and follow-through.
  • Maintain recurring dashboards and reporting, organizing performance information and surfacing insights to inform decisions and future work.
  • Provide administrative and operational support to the Activations team across team gatherings, live events, and other initiatives, coordinating scheduling, registration, materials, vendors, logistics, and day-of execution for virtual and in-person experiences.
  • Manage podcast guest coordination from outreach through completion, including scheduling, travel, logistics, reimbursements, and ongoing communication.
  • Manage core operational processes, including vendors, purchase orders, invoices, budgets, forecasting, reimbursements, and resource needs.
  • Identify opportunities to strengthen how the team works, introducing practical processes, tools, and solutions that improve effectiveness.

What You Will Bring

  • 3+ years of experience in project or program management, operations, media production, administrative support, or a related field.
  • Strong project management skills, with experience managing multiple workstreams, timelines, stakeholders, and competing priorities in a fast-moving environment.
  • Exceptional organization and follow-through, with the ability to move comfortably between project-level coordination and detailed execution.
  • Strong, concise written and verbal communication and relationship-building skills, with the ability to work effectively with senior leaders, internal teams, vendors, guests, and external partners.
  • High comfort operating in ambiguity and a proactive approach to driving clarity—asking good questions, defining next steps, and helping others see the path forward.
  • A proactive, service-oriented mindset and a willingness to take ownership of both traditional project management work and the operational details needed to help the team succeed.
  • Comfort with administrative work and logistics as an important, ongoing part of the role (not a temporary responsibility).
  • Experience managing operational processes such as budgets, vendors, invoices, reporting, or resource coordination.
  • Sound judgment, discretion, and adaptability in a fast-paced environment where priorities may shift.
  • Enthusiasm to contribute to Stand Together's vision and principled approach to solving problems, and a commitment to stewarding our culture, which champions values including transformation and innovation, entrepreneurialism, humility, and respect.

Standout Candidates Will Bring

  • Experience in podcasting, media, talent or guest relations, events, or community engagement is a plus.
  • Examples of systems or habits you’ve built to keep yourself and others organized, particularly in evolving or less-structured environments.

What We Offer

  • Competitive benefits: Enjoy a 6% 401(k) match with immediate vesting, flexible time off, comprehensive health and dental plans, plus wellness and mental health support through Peloton and Talkspace.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
