As a Facilities & Operations Logistics Specialist, you will blend traditional site facilities maintenance with hands-on, high-velocity operational logistics. You will oversee day-to-day building operations, hardware/equipment dispatch, site bookings, vendor management, inventory tracking, and pre-move location setups.

Key Roles & Responsibilities

1. Site Maintenance, Safety & Facilities Operations

  • Standard Maintenance & Repairs: Perform facilities maintenance and repairs according to standard procedures and site operational schedules (minor carpentry, electrical, mechanical, and plumbing repairs).
  • Routine Inspections: Conduct regular inspections of furniture, lighting/bulbs, electrical outlets, ventilation systems, and restroom fixtures to ensure optimal working condition.
  • Safety & Compliance: Inspect and troubleshoot building safety systems (e.g., fire alarms) and adhere strictly to all applicable safety rules and security procedures.
  • Event & Function Setup: Set up and tear down chairs, tables, and equipment for internal meetings, client functions, or site events.
  • General Housekeeping: Perform general cleaning, painting, grounds maintenance, and monitor daily office housekeeping.
  • Opening & Closing Checks: Inspect the building at the beginning and end of shifts to ensure cleanliness, security, and immediate resolution of facilities issues.
  • Renovation Support: Collaborate with internal teams, external workers, and contractors during site renovations or upgrades.

2. Logistics, Field Operations & Booking Workflows

  • Advance Site Bookings: Target site bookings 4 weeks in advance, validating headcount, equipment, power requirements, and host approvals (overnight usage, commercial collection, etc.).
  • Tracker & Drive Management: Maintain the master location tracker (e.g., Site Location Tracker) and organize designated Drive folders for each site.
  • Host & Escalation Workflows: Own host/property owner communications, damage escalation workflows, and site access coordination.
  • Equipment Preparation: Prepare and stage gear (including systems, VR sets, tools, props, chargers, and accessories) 1 day prior to move-in.
  • Pre-Move Documentation: Conduct thorough pre-move video/photo walkthroughs prior to unpacking and upload media to the dedicated site Drive folder.
  • Dispatch & Delivery: Deliver gear within approved access windows and conduct strict inventory verification during pickup and return.

3. Supply, Asset & SLA Management

  • Requisition Processing: Practice high efficiency in logging, monitoring, and handling purchase requisitions and purchase orders.
  • Asset Receiving: Manage shipping, receiving, and complete accounting of incoming deliveries for office equipment, furniture, fixtures, and fixed assets.
  • Inventory Management: Perform daily walkthroughs and manage inventories for office supplies, cleaning materials, and hardware assets.
  • Handoffs & Receipts: Hand over hardware inventory to Site Team Leads (TLs) and obtain signed delivery receipts.
  • SLA & Schedule Sharing: Share Move Plans with Logistics Specialists prior to dispatch and provide confirmed site details to scheduling before weekly publishing deadlines.
  • Reporting & Analytics: Generate daily, monthly, and annual reports covering pending supply requisitions, inventory costing, and equipment tracking.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
