The posting

Your mission

Description For our London locations we are looking for a full time Events Operations Associate. Hospitality is at the heart of what we do and the ideal candidate will be proactive and thinking ahead to make sure clients’ needs are met without them having to ask. A willingness to go the extra mile and get your hands dirty to deliver an incredible event product is essential for this role. This hands-on role requires you to partner a can-do attitude with brilliant attention to detail and time management skills to consistently meet deadlines and deliver a high-quality experience to everyone who comes to our London event spaces. You'll work closely with the Events Sales Associate, taking a clear, complete brief and turning it into a flawless experience on the day. You'll also step in to support enquiry management during quieter operational periods, ensuring the pipeline never stalls.

An exceptional Events Operations Associate has the ability to manage the expectations and demands of multiple organisers, vendors and team members simultaneously, so strong communication and interpersonal skills (written, verbal and listening) combined with a natural sense of empathy are a must. A customer service background may help with this, and close attention to detail is what separates a good event from a great one. The right attitude and passion for Events is far more important than experience in this entry level position. You should show a willingness to go the extra mile when required and consistently demonstrate a positive attitude. You will receive plenty of incredible opportunities for growth, learning and development.

Your profile

Role specifics As an Events Operations Associate, you will have cross functional responsibilities and be responsible for delivering a 5* member experience to event clients and their guests using our spaces. You will work closely with the Events Manager and other Events Associates to ensure a seamless handover from sale to execution, taking ownership of delivery throughout. You will support the event manager in delivering the events strategy for the business and hitting our overall annual targets.

  • Deliver a 5* Experience - Delivering an exceptional experience is a key requirement in this role. You will be the client's main point of contact leading up to and on the day of the event, and possess a hospitality and customer centric mindset, enjoy meeting new people, and want to develop great relationships while having the ability to manage client expectations and prioritise your day effectively. You'll also keep an eye out for opportunities to add value and enhance the overall client's experience, contributing to repeat bookings.
  • Plan and Coordinate - Once a booking is confirmed, you'll coordinate directly with the client on room layout, AV, catering, and timings, and raise invoices and contracts accordingly. You'll also brief our event suppliers and contractors ahead of the day, keeping accurate records and capturing the right information at every stage, so that nothing is missed and the event lands as a success on the day.
  • Preparation and Troubleshooting - You will be responsible for the day-to-day operations of the events space, including setting up for events and resetting spaces afterwards. You'll handle ad-hoc requests and queries on the day, troubleshoot AV issues where you can and escalate to our AV provider when needed, resolve any on-the-day issues with suppliers and contractors, and raise any maintenance or facilities issues as they arise.
  • Cross-team coordination - You’ll work alongside the broader Operations and Commercial teams to keep them informed of space availability, scheduling constraints, and any changes that affect the wider events calendar across our locations. You'll be a reliable point of contact for what's happening on the ground and also balance the event client and member experiences.
  • Report and Track - Maintain accurate records of every event, logging costs and ensuring revenue reporting is correct in our CRM systems.
  • Feedback - You will enjoy gathering feedback from clients, guests and your own first-hand experiences and sharing these with the wider team, to help improve and grow the events business.

Must haves…

  • Hands-On - You enjoy the physical work of running an event: setting up, resetting, troubleshooting. No task is too big or small, and you take pride in the details others might miss.
  • Team Player - You're happy to pitch in beyond your core role when the team needs it, whether that's front desk, café, or general operational cover for the Community team. You see the wider Techspace experience as a shared responsibility, and enjoy getting to support others.
  • Keen & Eager - You are a self motivator, who is always looking to push themselves and those around them. No job is too big or too small and you are happy to give anything a go.
  • Friendly - You are a natural people person. That does not mean you are always the loudest and most extroverted, but people gravitate towards you and feel comfortable in your presence.
  • Organised - You have a sharp eye for detail and ability to juggle multiple tasks at any given time. You can plan your time effectively to meet deadlines and deliver projects & tasks to a high standard.
  • Caring - In a role where you are so central to the community, a real sense of empathy and care is essential. You consider how your words and actions impact those around you and want to go the extra mile to make people feel looked after.
  • Strong Listener - Actively listening to clients is a vital skill for this role. Listening with intention, delving deeper and turning feedback into solutions will help you create a bespoke and human experience for our clients.

You'll fit right in if you...

  • Enjoy being hands-on, visible, and deeply connected to our physical space and member community every day
  • Take real pride in creating a great experience for members, not just getting the task done
  • Get energy from shaping an evolving environment over maintaining a finished system
  • Take ownership of problems and see them through, rather than waiting to be told exactly what to do

It's probably not the right fit if you...

  • Want to work mostly remotely or asynchronously
  • Would rather work behind the scenes on facilities and logistics without much day-to-day member contact
  • Prefer an established environment where the answers are already written down
  • Prefer being handed clear, defined tasks rather than spotting what needs doing yourself

Why us?

Our Values Here are the values we care most about. Not only are they behaviours that best represent our team culture, but this also extends to new members and partners we intend to work alongside.

  • We Are Open - we create environments that support openness and honesty. We listen to each other, challenge, support, and always assume positive intent.
  • We Care - we care deeply about our fellow Techspacers, about serving our members and about our impact on the world.
  • We Move At Thoughtful Pace - we have a bias for action and being decisive. We trust each other to take risks and we learn from our mistakes.
  • We Strive to Improve - we are ambitious, stretching ourselves to innovate and always do better.
  • We Seek Balance - we choose fun and fairness, and support each other to find our balance.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
