Uppdragsbeskrivning:

Vi söker en projektadministratör på heltid som avlastar programledaren och närmast berörda projektledare. Uppdraget är att skapa struktur, hålla information aktuell och följa upp administrativa aktiviteter. Det frigör tid för ledning, verksamhetsfrågor och tekniskt genomförande.

Arbetsuppgifter:

-Samordning av expertgrupper

Planera möten, samordna deltagare och skicka kallelser. Samla in underlag och förbereda dagordningar tillsammans med ansvarig ledare. Dokumentera möten, beslut och aktiviteter samt följa upp ansvariga och tidsfrister. Hålla deltagarlistor och kontaktuppgifter aktuella.

-Dokumentation och informationshantering

Samla in och sammanställa information från projektledare, expertgrupper och andra berörda. Dokumentera och uppdatera information i interna system enligt gällande arbetssätt. Säkerställa tydlig struktur, versionshantering och spårbarhet så att rätt underlag är lätt att hitta.

-Intern kommunikation

Ta fram och publicera nyheter, lägesuppdateringar och mötessammanfattningar i interna informationskanaler. Anpassa innehållet till målgruppen och inhämta godkännande från ansvarig före publicering. Fånga upp informationsbehov och påminna om underlag som saknas.

-Administrativt stöd till program- och projektledning

Sammanställa statusunderlag, presentationer och rapporter utifrån information från ansvariga. Underhålla aktivitetslistor, möteskalendrar och administrativa planer. Stödja introduktion av nya deltagare och samordna praktiska förberedelser inför workshoppar och andra gemensamma aktiviteter.

Kompetensprofil:

Vi söker en strukturerad, driven och serviceinriktad person som trivs med många kontaktytor och följer upp uppgifter till avslut. Personen uttrycker sig tydligt på svenska, sammanfattar information korrekt och har god vana av digitala samarbetsytor, dokumenthantering och administrativa system.

Erfarenhet av projektadministration eller motsvarande samordnande arbete är meriterande. Teknisk specialistkompetens krävs inte. Tyngdpunkten ligger på organisationsförmåga, initiativkraft, noggrannhet och vilja att lära. Introduktion och löpande vägledning ges av program- och projektledningen.

Uppdraget kräver gott omdöme och förmåga att hantera information enligt verksamhetens krav på sekretess och informationssäkerhet.

Kvalificeringskrav (Skallkrav):

• Konsulten ska ha god förmåga att uttrycka sig i tal och skrift på svenska.

• Konsulten ska minst ha minst 1 års dokumenterad erfarenhet av arbete som projketadministatör, projektkoordinator eller likvärdig roll de senaste 3 åren.

• Konsulten ska ha praktisk erfarenhet av god dator- och systemvana, Office-paketet, framför allt Outlook, Word och Excel.

Meriterande kompetens (Börkrav):

• Konsulten bör ha erfarenhet av att ha arbetat inom säkerhetsklassad verksamhet.

• Konsulten bör ha erfarenhet av arbete inom rättsväsendet.

• Konsulten bör ha erfarenhet av arbete inom den offentliga sektorn.
