The Institutional Advancement team at The Henry Ford has an exciting opening for an Advancement Administrative Assistant and Project Coordinator, an excellent opportunity for an emerging fundraising professional to build hands-on experience within a mission-driven Advancement department. Fundraising plays a vital role in expanding the institution’s reach, advancing strategic priorities, and sustaining the programs, experiences, and collections that inspire our guests and community. In this role, you will support the Senior Vice President and Chief Advancement Officer, Gift Officers, Administrative Services Teams, and Corporate and Donor Relations Teams while helping the department run efficiently and contribute to overall success. You will also gain valuable exposure to donor relations, stewardship, events, advancement operations, and the meaningful philanthropic relationships that support The Henry Ford’s mission and long-term goals.This role is primarily an on-site position based in Dearborn, Michigan. Some weekend and evening work will be required to support fundraising activities.Essential Responsibilities:

Provide administrative support to the Advancement Team Manages the calendar, coordinates meetings, and plans all travel for the Senior Vice President and Chief Advancement Officer and the Directors of the Advancement Team, and acts as primary liaison to the President's Office Maintains the Senior Vice President's expense reports and processes invoices on a regular basis Serves as backup support for the Executive Assistant Handles ad hoc requests for information from the Institutional Advancement Team and the President Orders office supplies and other office purchases and prepares travel itineraries Serves as backup for the general Development phone line Attends and supports event logistics for special stewardship events, donor breakfasts, lunches, and dinners, including welcoming donors and guests at check-in tables and entering RSVP details into the database Coordinates all outgoing correspondence for the Senior Vice President, such as stewardship letters and other needed communications Provides administrative support to the General Donor Societies, the Carver-Carson Society, and the THF Drivers Club, including special events and donor requestsProvides administrative support for Edible Education Initiatives, such as Farm to School Lunch Across America, including external relationships, event support, research, and CRM data Provides support to the Corporate Partnerships teams with recaps and onsite activation Works closely with the Senior Manager of Advancement Services and Annual Giving to ensure an efficient system for stewardship letters and other communication needs and provides occasional research support. The stewardship letter process requires a minimum of two to three days in the office. Merges, creates, and prints Donor Society Renewal notices daily and weeklySupports the external relations team with personal touches such as flowers and cards Performs other duties as necessary

Qualifications:

Bachelor’s degree in Communications, Business Management, Nonprofit Management, English, or a related field; or five years of relevant experience Proficiency with Microsoft Office applications Experience with Raiser’s Edge or similar fundraising software preferred Project management experience, including the ability to meet deadlines and support successful outcomes

Strong understanding of Development and Advancement practices, with the ability to manage multiple priorities within demanding timeframes Proven ability to build trust, collaborate effectively, and support change in a dynamic environment High level of integrity, confidentiality, sound judgment, and emotional intelligence Strong written, verbal, listening, interpersonal, and organizational skills Commitment to The Henry Ford’s mission, values, service standards, and positive donor relations Ability to work a flexible schedule, including evenings and weekends, to support special events Positive, self-motivated team player who is comfortable working in a fast-paced environment
