The posting

We’re TIP Group – a proud Great Place to Work® – and we’re looking for a proactive and organised Operations Assistant to join our team.

This is a varied, hands-on role where you’ll be right at the heart of the operation, helping to keep our HGV trailer fleet, yard activity, compliance and customer bookings running smoothly.

This isn’t a traditional office-based admin role. You’ll be working from a Portakabin on a busy operational yard and regularly moving between the cabin and the yard in all weather conditions. It can be cold, wet, muddy and noisy at times, so you’ll need to be comfortable working in a practical, industrial environment.

What You’ll Be Doing

✔️ Checking HGV trailers in and out of the site using a tablet, making sure all information is recorded accurately ✔️ Carrying out regular yard checks, ensuring trailer locations and availability are correctly reflected on our systems ✔️ Booking compliance work, servicing and other required maintenance to keep our fleet operating safely and efficiently ✔️ Allocating and issuing work to technicians, helping the workshop keep jobs moving throughout the day ✔️ Raising start-up numbers for external vendors and ensuring the relevant information is recorded correctly ✔️ Reserving trailers for customers using our in-house fleet management system ✔️ Creating and updating customer rates within the system ✔️ Making sure our systems are kept accurate and up to date, including trailer movements, customer information and fleet status ✔️ Uploading and maintaining documents and compliance records ✔️ Using Excel for basic administration, tracking and operational tasks ✔️ Working closely with technicians, customers, vendors and the wider operations team to keep everything running smoothly

What You’ll Bring

✔️ Good administration and organisational skills with strong attention to detail ✔️ Confidence using computer systems, tablets and other digital tools ✔️ Basic Microsoft Excel experience ✔️ Good customer service and communication skills with a professional telephone manner ✔️ The ability to prioritise different tasks in a busy operational environment ✔️ A proactive mindset and willingness to take ownership of your work ✔️ Comfortable working in a Portakabin and active HGV yard environment ✔️ Happy working outside when required, including in cold, wet and poor weather conditions ✔️ A practical attitude — this is an operational site, not a corporate office environment ✔️ A good sense of humour – we work hard, but we like a laugh too
