Ter versterking van het team bij ene transportbedrijf in Lanaken zoeken zij een Administratief Medewerker Facturatie & Dossierbeheer die ownership neemt over dossiers, kritisch durft zijn en graag samenwerkt in een no-nonsense omgeving.

Jouw rol

Je bent verantwoordelijk voor een breed en inhoudelijk administratief takenpakket, met focus op facturatie, dossiercontrole en masterdata. Je werkt nauw samen met operations, fleet en management en zorgt ervoor dat administratie niet alleen correct is, maar ook logisch en controleerbaar.Onder jouw verantwoordlijken zitten de volgende zaken:

Facturatie & dossiercontrole

•Controleren van uitgaande facturen

•Opstellen en versturen van facturen naar klanten

•Opmaken van self-bills voor charters

•Verwerken van inkomende charterfacturen op basis van self-bills

•Opstellen en verwerken van inkomende en uitgaande creditnota’s

Inkomende facturen & goedkeuring

•Controleren van inkomende facturen op correctheid

•Goedkeuren van algemene kostenfacturen

•Controleren en goedkeuren van facturen gelinkt aan fleet

Administratief dossierbeheer & masterdata

•Aanvragen van klantcodes in AS400 en aanmaken in Qargo

•Aanmaken van leveranciers- en chartercodes in AS400 en Qargo

•Aanmaken van charters en chauffeurs in AS400 en Qargo

•Beheren en toevoegen van rate plans aan leveranciers en voertuigen

•Opladen en beheren van alle vereiste documenten in Qargo

(contracten, verzekeringen, vergunningen, …)

•Ingeven en opvolgen van vervaldatums in Qargo

•Beheer van e-mailinstellingen voor facturatie

Terugbetalingen & subsidies

•Terugvorderen van accijnzen

•Aanvragen van financiële tegemoetkoming opleidingen

Post, boetes & communicatiekanalen

•Beheer van de e-box (verkeersboetes, wegenbelasting, overheidsdocumenten)

•Ontvangen en verwerken van fysieke post

•Verwerken van boetes: opzoeken, classificeren, registreren en eventueel doorbelasten

Loonadministratie

•Verwerking van de lonen van de eigen chauffeurs

Welk profiel hebben ze nodig?

  • Je hebt een bachelor denkniveau. idealiter heb je een bachelor afgerond als bedrijfsmanagement of accounting. Schoolverlaters zijn ook welkom!
  • Je werkt nauwkeurig, stipt en gestructureerd, ook wanneer het druk is
  • Je bent stressbestendig en klantvriendelijk en houdt overzicht in meerdere dossiers tegelijk
  • Je werkt graag in teamverband als een betrouwbare en onmisbare schakel, maar kan je taken ook zelfstandig en verantwoordelijk uitvoeren
  • Je communiceert duidelijk en durft inhoudelijk mee te denken, vragen te stellen en verbeteringen voor te stellen waar dat zinvol is
  • Je voelt je comfortabel in een praktische, directe werkomgeving waar samenwerking en gezond verstand centraal staan
  • Je spreekt vlot Nederlands en Engels; kennis van Frans en/of Duits is een pluspunt
  • Ervaring in de transport- of logistieke sector is een meerwaarde, maar geen vereiste
