Purpose of the Position:

The Campus Operations Coordinator supports the day-to-day operations of UMA’s Tampa Center and helps create a welcoming, professional, and well-organized environment for students, team members, prospective students, employer and community partners, vendors, and guests. Serving as a central point of coordination for the Center, this role supports front office operations, facility and vendor coordination, campus events and meetings, administrative activities, and the overall student and visitor experience. The Campus Operations Coordinator works across campus functions and with campus leadership to help ensure the Center operates efficiently, remains presentation-ready, and delivers a consistent, high-quality experience.

What you’ll do:

  1. Support the Student and Guest Experience: Serve as a primary point of contact for students, prospective students, visitors, employer and community partners, and other guests, providing a welcoming and professional experience.
  2. Coordinate Front Office Operations: Responsible for day-to-day front office activities, including visitor reception, incoming calls, general inquiries, mail, packages, and deliveries.
  3. Support Campus Readiness: Help ensure reception, meeting, common, and other shared campus spaces remain organized, professional, and ready to support daily campus activities.
  4. Coordinate Facility and Vendor Needs: Serve as a point of coordination for vendors, service providers, deliveries, and routine facility needs, including scheduling service calls and escalating facility concerns as appropriate.
  5. Coordinate Meetings and Shared Spaces: Manage conference room and shared-space scheduling and assist with meeting logistics, room setup, technology coordination, food delivery, and other needs.
  6. Support Executive and External Visits: Coordinate logistics for executive leadership, employer partners, community organizations, and other external guests visiting the Tampa Center.
  7. Support Cross Functional Campus Needs and Events: Partner with Admissions, Education, Career Services, Student Services, Strategic Partnerships to assist with the planning and execution of student activities, orientations, open houses, employer and community events, campus celebrations, and other special events.
  8. Coordinate Campus Supplies: Coordinate the ordering, organization, and inventory of office and shared campus supplies and identify replenishment needs.
  9. Support Administrative Operations: Perform administrative activities such as preparing materials, maintaining records, photocopying, coordinating correspondence, and supporting campus leadership with operational projects.
  10. Maintain Student Information: Use the student information system of record to update appropriate student information, such as phone numbers and addresses, in accordance with established policies and procedures.
  11. Manage Appointment Records: Maintain appropriate records of campus appointments and walk-in activity and help connect students and visitors with the appropriate campus team.
  12. Support Campus Access and Visitor Processes: Help coordinate visitor access and ensure established campus check-in, safety, and security procedures are followed.
  13. Participate in Community and Campus Events: Support on- and off-campus activities that promote student engagement, community relationships, and awareness of UMA.
  14. Perform other duties as assigned:

Required Skills/Experience:

  • High School diploma or equivalent.
  • 2 years of experience in customer service, administrative support, office coordination, hospitality, campus operations, or a related environment.
  • Strong organizational skills with the ability to manage multiple priorities and coordinate activities across different functions with attention to detail.
  • Ability to professionally communicate fluently in verbal and written English.
  • Ability to contribute to a diverse and inclusive work environment.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and other business tools such as Microsoft Teams.
  • Ability to maintain professionalism and discretion when interacting with internal and external stakeholders.

Preferred Requirements:

  • Associate degree.
  • 3 or more years of experience in customer service, office coordination, campus operations, hospitality, higher education, healthcare, or a related environment.
  • Experience coordinating meetings, events, vendors, or facility-related activities.
  • Experience supporting senior leaders, executives, or external stakeholders.
  • Experience working in a student-facing or customer-facing environment.

Compliance:

  • Demonstrate knowledge of and carefully follow all applicable federal and state compliance requirements and regulations, including those prescribed by the U.S. Department of Education, accrediting agencies, state regulations, and internal policies and procedures.
  • Effectively communicate compliance requirements to other staff as appropriate and quickly escalate any compliance concerns to the Compliance department.

Work Environment/Physical Demands:

  • This position is a full-time onsite position at UMA’s Tampa Center in Tampa, Florida.
  • The role requires regular movement throughout the Center to support campus operations, meetings, events, visitors, and facility needs.
  • May require occasional setup, movement, or organization of materials and supplies associated with meetings and campus events.
  • Flexibility to work evenings and weekends as needed to support campus operations, events, and activities.

Anticipated starting salary is based on experience and qualifications.

Compensation Range

$20.19—$21.50 USD
